Job Description
- Welcome and assist clients, visitors, and vendors professionally and courteously.
- Perform general administrative duties, including copying, scanning, faxing, filing, and organizing documents.
- Manage calendars and schedules for attorneys and paralegals, including scheduling appointments, meetings, and court-related deadlines while preventing scheduling conflicts.
- Answer and screen incoming phone calls and direct callers to the appropriate team member.
- Run office errands as needed (e.g., Post Office, Second Circuit Court, and Maui Police Department).
- Conduct initial intake calls with prospective clients and gather relevant case information.
- Provide administrative support to attorneys and paralegals with case management, including: Requesting and organizing medical records and other case-related documents, conducting client follow-up calls and periodic case status check-ins, and scheduling client meetings, depositions, mediations, and other appointments as directed.
- Maintain professional communication with clients, courts, medical providers, insurance companies, and other parties via telephone, email, and mail.
- Anticipate the needs of attorneys, paralegals, and clients to ensure efficient workflow and exceptional client service.
- Maintain the cleanliness and organization of the office through light housekeeping duties.
- Assist with other duties as assigned.
- Excellent computer skills and proficiency with Microsoft Office (Word & Excel) and Adobe Acrobat Pro (i.e. Editing, Consolidation of documents, Redaction, Bates numbering, etc.)
- Strong attention to detail.
- Professional communication and interpersonal skills.
