Job Description
- Prepare and coordinate board and annual meetings, including notices, agendas, packets, locations, Zoom logistics, proxies, and electronic voting.
- Manage the Account Executive's calendar, meeting schedules, deadlines, and global calendar updates.
- Process, organize, and maintain client records, correspondence, board lists, contact information, and association documentation.
- Review, route, scan, file, and track incoming mail, invoices, administrative forms, and payment requests.
- Coordinate routine communications, including meeting notices, email blasts, delinquency follow-up, insurance, audits, taxes, and annual timelines.
- Respond to routine homeowner and board inquiries and draft correspondence for AE review when appropriate.
- Track association compliance activities, including violations, fines, appeals, HO6 policies, audits, taxes, and key deadlines.
- Prepare monthly management reports, board packet materials, and maintain accurate tracking logs for action items and outstanding tasks.
- Escalate policy, legal, dispute, or board governance matters to the Account Executive while supporting administrative follow-up.
- Ensure all administrative work complies with procedures, filing standards, notice requirements, and the direction of the assigned Account Executive.
- Other duties as assigned.
