What are the responsibilities and job description for the Controller position at Empire State Medical, Scientific, and Educational Foundation?
SUMMARY OF POSITION:
The Controller oversees all aspects of the company’s accounting and financial operations. The Controller is responsible for the maintenance of accurate financial records, report preparation, management budgets, and ensuring compliance with legal accounting standards. The Controller reports to the Executive Vice President and plays a key role in strategic decision-making and financial planning for the organization.
JOB RESPONSIBILITIES (Not limited to):
- Prepare monthly financial statements to include:
- Preparation of all journal entries – reconciliation of various organizational expenses
- Monthly reconciliation of all bank accounts
- Monthly reconciliation of all charge account activities
- In conjunction with Executive Vice President, prepare and maintain organizational operating budget
- Present financial reports to Board of Directors on a quarterly basis
- Prepare ESMSEF books for year-end audit including preparation for development of year-end tax returns
- Support outside Audit firm in scheduling and completion of an annual audit
- Prepare necessary applications for company insurance policies
- Work with Human Resources on employee benefits management, new hires/terminations, salary changes
- Monitor bank accounts daily including required Positive Pay actions
- Oversee and monitor Bookkeeper on accounts payable and accounts receivable functions
Payroll, Systems & Administration
- Payroll Leadership: Oversee payroll management and preparation, ensuring full compliance with NYS labor regulations
- Systems Optimization: Optimize accounting platforms including QuickBooks and other automated payroll systems
- Internal Controls: Design and implement financial controls to reduce risk, prevent revenue leakage, and maintain confidentiality of personal information
QUALIFICATIONS:
- In-depth knowledge of accounting principles, financial regulations, budgeting, forecasting and 501C(3) organizations
- Proficiency in financial software, specifically QuickBooks cloud-based system and Microsoft Excel
- Knowledge of automated payroll systems
- Strong analytical and problem-solving skills, excellent communication skills
EDUCATION:
· Bachelor’s degree in accounting, Finance or other related field
· CPA or CMA certification preferred
EXPERIENCE:
· 5 years of leadership experience in accounting or finance, with non-profit experience preferred
