Job Description
Summary/objective
The Maintenance Scheduler works with the rest of the Administrative Maintenance Team and ensures all Empire Property Management Maintenance Technician’s schedules are accurate and scheduled efficiently. They assign work orders to the most appropriate Maintenance Technician for the job, by learning the strongest skills of each Maintenance Technician. They follow up on all Maintenance Technicians throughout the day. They overcome any obstacles with the scheduling of Maintenance Technicians by working in a collaborative manner and with a cool head. They are educated on what it takes to complete maintenance tasks in the most economical and expedient way possible.

Schedule all Maintenance Technicians for work orders that need to be completed
Responsible for scheduling vendors
Problem solve with the team for any issues that may arise in the day to day process
Communicate with all departments of Empire Property Management to ensure work orders and getting scheduled and completed
Adheres to company policies
Promptly responds to incoming phone calls. Emails, and texts
Directly responsible for customer service
Answers phone calls, providing excellent customer service.
Works well in a team environment and offers support as needed.
Retrieves information as requested from records, email, reports and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions.
Performs other related duties as assigned.

Work environment
- Office setting
- Very occasional visiting of properties/residences for posting notices
- Driving personal vehicle to and from court and other locations for filing of documentation
- Could be exposed to weather due to travel and inspection of interior and exterior of dwellings
- Prolonged periods sitting at a desk and working on a computer.
- Occasional periods standing and walking, walking up and down stairs
- Must be able to lift up to 15 pounds at times.
- Able to travel as needed.
- Travel by personal vehicle to the office, rental properties/residences and to courthouses in various locations.
- Must be able to effectively communicate in English & Spanish
- At least two years of administrative/clerical experience required.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service/presentation skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage multiple schedules.
- Familiar Microsoft Office Suite, Google Workspaces or related software.
- Basic understanding of how to operate standard office equipment.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Demonstrated ability to follow direction and shows aptitude for learning and retention of learned skills
- Experience in Real Estate, construction, Property Management, or other related field a plus
- Knowledge of Appfolio Software is a plus
- A willingness to learn and grow with the Empire Family of Companies .
- A valid driver's license and reliable transportation
- Work authorization
