JOB DESCRIPTIONJOB TITLE: District Payroll Clerk and Benefits SupportREPORTS TO: SuperintendentJOB SUMMARY Performs district payroll processing, benefits coordination, general bookkeeping, and payroll-related human resources support duties. Ensures accurate payroll processing, regulatory compliance, and timely reporting while supporting employee benefit programs and payroll records.QUALIFICATIONS Demonstrated ability to accomplish the major duties and responsibilities listed below. Preferred qualifications include coursework or experience in accounting, business administration, bookkeeping, payroll processing, or related fields. Experience with payroll software, financial recordkeeping, and Microsoft Office applications is beneficial.DUTIES AND RESPONSIBILITIES Prepares and processes district payroll.
Calculates and monitors related activities, including salary schedules, insurance, flexible benefits, retirement contributions, and other payroll deductions.Maintains and updates payroll records, including federal and state tax information, employee deductions, and direct deposit information.Reconciles all Medical, Dental, Life, Public Employee Retirement System (PERSI), and TSA benefit billings.Processes employee benefit enrollments, changes, and deductions; coordinates required documentation with benefit providers.Prepares Federal, State, and Unemployment payroll reports and prepares W-2 forms and other required annual reporting.Maintains employee leave records, including sick leave, personal leave, vacation leave, and certified sick leave back records.Completes surveys and research questionnaires pertaining to payroll information and district insurance coverage.Assists with employee onboarding by entering payroll and benefit information for new hires and employee transfers.Files and maintains payroll and personnel documentation in accordance with district procedures.Works with district auditors and provides payroll documentation and reports as requested during audits.Prepares and provides payroll, wage, salary, and benefit information as requested during negotiations and financial planning.Supports Frontline Absence Management and other HR systems related to payroll and employee records.Deals with staff, parents, district personnel, and others in a positive and encouraging manner.Knows and follows school district policy and chain of command.Acts ethically and maintains confidentiality in all aspects of employment, particularly with payroll and personnel records.Performs such district-related duties as assigned by the supervisor.TERMS OF EMPLOYMENT The employment period shall be for 250 days, which includes 8 legal holidays. Holidays include: Labor DayThanksgiving DayChristmas DayNew Year's DayMartin Luther King DayPresidents DayMemorial DayIndependence DayAll non-certificated staff not under contract is under "at will employment". Their positions shall be considered in all respects "employment at will" and the employee is subject to discharge by the district at any time without cause. The "employment period" and other descriptions and terms set forth in their job descriptions shall not create a property right in the employee and such are set forth only to advise the employee of when and what type of services will be required by the district so long as employment continues.
