Job Summary
We are seeking a dynamic, organized, and passionate Associate Wedding Planner / Lead Wedding Planner to join our growing events team. This role offers an exciting opportunity to help craft highly personalized wedding experiences through thoughtful planning, elevated design, and seamless execution.
As a key member of our team, you will support and/or lead high-end wedding weekends from initial planning through final event execution. The ideal candidate thrives in fast-paced environments, communicates professionally, anticipates needs before they arise, and genuinely loves the behind-the-scenes details that make exceptional events possible.
This role is ideal for someone who is both creatively driven and highly logistical, with experience managing timelines, vendors, client communication, and wedding day execution.
This role initially begins in an Assistant Planner capacity to allow new team members to become fully immersed in the Emily Boziwick Events planning approach, client experience, systems, and wedding weekend execution style. Over time, there is opportunity for growth into a Lead Planner role based on performance, experience, leadership ability, and overall fit within the company.
Lead Planner opportunities are earned through hands-on experience, successful event execution, client interaction, and demonstrated alignment with the EBE standard of service and design.
Responsibilities
Client Planning & Event Management
- Collaborate closely with clients to understand their vision, priorities, aesthetic, and overall wedding goals
- Assist in developing comprehensive wedding plans, production schedules, timelines, and estimated budgets
- Help develop overall wedding design and aesthetic direction alongside clients and creative partners
- Coordinate with vendors including caterers, florists, rental companies, photographers, entertainment, transportation, and venues
- Manage venue logistics including layouts, seating charts, setup flow, production timing, and guest experience
- Maintain detailed planning documents, vendor communication, contracts, payment schedules, and organizational systems
- Support budgeting efforts by tracking expenses and identifying cost-effective solutions without compromising quality
- Negotiate and review vendor proposals and contracts when needed
- Upsell additional planning and production services such as rehearsal dinners, welcome parties, after parties, and farewell brunches
- Provide exceptional client service with prompt, professional, and thoughtful communication throughout the planning process
Wedding Weekend Execution
- Lead or assist with wedding day coordination depending on assigned role for each event
- Manage a team of assistants and oversee vendor arrivals, setup, breakdown, and event flow
- Oversee design installation and production execution
- Assist with couple and guest requests while maintaining a calm, solutions-oriented presence
- Manage timelines and troubleshoot issues professionally and efficiently
- Direct ceremony processionals, reception transitions, and key event moments
- Maintain a polished, elevated, and hospitality-focused client experience throughout the weekend
- Support setup, styling, detail placement, and final visual touches as needed
Qualifications & Skills
- Prior wedding planning or event production experience required
- Strong understanding of high-end weddings, hospitality, or large-scale event execution
- Proven organizational and multitasking abilities in fast-paced environments
- Strong communication and interpersonal skills
- Excellent time management and problem-solving abilities
- Ability to manage multiple events and deadlines simultaneously
- Experience with budgeting, vendor management, and logistical planning
- Comfortable leading teams and directing vendors during live events
- Strong sales and upselling abilities during consultations and planning conversations
- Ability to remain calm, professional, and proactive under pressure
- Must have reliable transportation and weekend availability during wedding season
Preferred Qualities
- Experience with high-end weddings or tented events
- Strong familiarity with Hudson Valley wedding venues
- Strong eye for aesthetics, guest experience, and event flow
- Comfortable working long event days and traveling for site visits, client meetings, and wedding weekends
- Positive, team-oriented mindset
- Ability to anticipate needs before they arise
- Passion for weddings, design, hospitality, and exceptional client experiences
Compensation
Compensation is based on experience and role responsibilities.
Typical ranges include:
- Planning/Admin Hours: Starting at $25/hour with opportunity for growth
- Wedding Day Lead Planning: Higher flat-rate or hourly compensation based on event scope and responsibilities
Opportunities for long-term growth within the company are available for the right fit.
Schedule
- Flexible remote hours during planning periods (typically 5–20 hours per week)
- Wedding weekends required
- Seasonal workload with heavier volume May–November
- We intentionally take on a limited number of weddings per year (approximately 6–8) to maintain a high-touch client experience
