The Maintenance and Materials Supervisor is responsible for developing and maintaining a cost-effective purchasing and inventory control system as well as managing assisting/supporting staff members. The Maintenance and Materials Supervisor is tasked with the management, procurement, distribution, and inventory of goods and services necessary for the effective and efficient daily operation of EmergeOrtho including all regional office locations.
Qualifications and Experience
- Previous experience in inventory management and supply chain, 2 years preferred. Five years medical background including clinical experience required
- BS in business administration or allied health degree preferred
- Ability to establish/maintain cooperative working relationships with staff and vendors
- Ability to gather and analyze data to prepare and present analyses to leadership
- Ability to meet deadlines with a low level of supervision needed to accomplish tasks
- Strong written and verbal communication skills
- Ability to be flexible and highly responsive to needs and requests
- Strong ability to prioritize and perform multiple projects concurrently
- Proven ability to collaborate and develop practical business solutions
- Attention to detail with a high level of accuracy
Responsibilities include, but are not limited to, the following
- Responsible for independently managing daily office operations including purchasing and maintaining inventory system
- Establishes purchasing/inventory policies and procedures, goals, budget including the development and maintenance of a perpetual computerized inventory and cost system exercising discretion and independent judgement
- Maintain a philosophy consistent with the organization’s mission and vision
- Oversees the purchasing of all supplies, equipment, and materials for the clinic including the review/processing of purchase orders as well as seeks bids and negotiates best prices, discounts, and terms of quality
- Oversees equipment maintenance ensuring that broken equipment is taken out of service and sent for repair in a timely manner and suitable temporary replacement equipment is secured
- Maintains current files, records, and catalogs for equipment and sales representatives who service the facility
- Establishes/maintains efficient systems for receiving and recording shipments and for follow-up related to discrepancies or replacements
- Communicates with Accounts Payables to facilitate accurate payment. Follows up with Accounts Payable to be sure that returns and credits are properly credited. Forwards bills to Accounts Payable to ensure that they are paid in a timely manner. Follow up with Accounts Payable to adjudicate invoicing errors with vendors to avoid penalties and interest charges. Report any known, unresolved invoicing errors or discrepancies to Accounts Payable and Executive Director/CEO before payment
- Collaborate across regions with other Material Managers in accordance with formulary formation and EO wide contract negotiations
- Performs other duties as required and assigned by Manger, including schedule changes and travel to office locations as assigned
