REPORTS TO: Hospital Manager
POSITION OVERVIEW: As a Controlled Substances Specialist at EVCC - Westville, you will:
- Manage and track all controlled substances within the hospital to ensure full compliance with DEA, state, and internal regulations.
- Support hospital leadership in maintaining secure, accurate, and legally compliant controlled substance protocols.
- Play a key role in training, inventory coordination, auditing, and incident resolution.
RESPONSIBILITIES:
- Manage and oversee the receipt, logging, storage, usage, and disposal of all controlled substances.
- Perform weekly counts of all controlled drugs and weigh injectable medications to ensure accurate documentation.
- Conduct monthly and yearly audits in line with DEA and internal standards.
- Order and maintain controlled drug logbooks and DEA 222 forms, ensuring all documentation is completed and stored according to regulations.
- Collaborate with the Inventory Specialist to oversee controlled drug receiving and logging procedures.
- Work closely with the Location Medical Director to ensure controlled substance stock is adequate and current.
- Train new team members on proper controlled substance logging and hospital protocols.
- Serve as a trainer for the next generation of Controlled Substance Specialists.
- Report weekly updates and concerns to the Hospital Manager and Medical Director.
- Identify and investigate discrepancies, including reviewing security footage, and communicate findings to your direct report and Medical Director.
- Assist in remedying losses and completing necessary reporting, including DEA Form 106 for theft or loss.
- Remain up to date on DEA and state regulations by participating in continuing education (CE) opportunities.
QUALIFICATIONS:
- Must currently be a Level 3 Veterinary Technician or Assistant at EVCC.
- Must have completed Controlled Substance Handling and Logging sign-off.
- Employed full-time at EVCC (averaging 36 hours/week) for a minimum of 1 year.
- Demonstrated comprehensive knowledge of inventory processes, including the use of EzyVet and online ordering systems.
- Strong organizational and prioritization skills.
- Excellent verbal and written communication skills.
- Ability to professionally manage confidential and sensitive information.
- High attention to detail and commitment to accuracy.
