Role Description
The Senior Operations Coordinator’s focus will be to lead the day-to-day operations and manage the Client Services & Facilities Coordinators while maintaining coverage at the reception desk. They will be responsible for the overall productivity and accuracy of Emerge212 operations. They will have a hand in many aspects of the business to better organize Emerge212’s efforts to bring an elevated experience to its clients. This role requires exceptional interpersonal, communication (both written & verbal), and computer skills. The ideal candidate is easily adaptable, takes pride in their work, and has the passion to lead special projects and assignments. They will work directly with each Coordinator to ensure standard operating procedures are met. They will also work in unison with the other Senior Coordinators to ensure all Emerge212 centers are fully operational, and any problems are communicated with upper management. Required to be in the office from 8:30am – 6:00pm Monday to Friday.
List of Responsibilities
· Reception services such as call answering, greeting guests, coordinating conference room reservations and mail/package handling
· Prepare move-in and move-out logistics with clients and coordinate with onsite facilities to ensure a smooth process
· Provide coverage and an extra hand as needed throughout the three centers
· Enhance, maintain, and enforce Emerge212 standard operating procedures inclusive of operational protocols, staff responsibilities and overall performance
· Responsible for maintaining overall cleanliness and organization of the center(s)
· Manage office supplies and the maintenance of office equipment while reviewing and approving supply orders as needed
· Create and track tasks for the Facilities and Operations Coordinator so that all responsibilities are prioritized accordingly
· Coordinate the setup of all in-house and virtual clients while working with Leasing to ensure all paperwork is in order
· Assists with the management of daily operational activities
· Plan and organize conferences, events, staff training, and employee engagement activities
· Prepare and maintain documents, reports, templates, and other materials
· Maintain both Accounts Payable and Account Receivable for their main location and assist where needed
· Communicate with vendors to establish good business relationships
Long Term Responsibilities
· Responsible for performance management of all subordinate roles and regularly reporting and communicating with management on team performance
· In coordination with the Senior Coordinators, facilitate all staffing needs including the interviewing, hiring, and onboarding of new employees
· Create quality assurance checks for Client Service Coordinators and offer them one-on-one training as needed
· Assist with project management by creating assignments, tracking progress, and resolving issues among the operations team
· Review and manage client rent statements monthly by working individually with each Coordinator to ensure statements are sent on time and are accurate
· Train current Client Services Coordinators to ensure uniform procedures across all platforms
· Collaborate with the marketing and leasing team to create and optimize revenue streams
