Duties
- Greet visitors warmly and professionally, creating a welcoming environment for all clients and guests
- Answer multiple phone lines promptly using multi-line phone systems, directing calls efficiently to the appropriate departments
- Manage appointment scheduling and calendar management for sales staff and service appointments
- Handle data entry tasks accurately using computer skills, including updating customer records in CRM systems and maintaining filing systems
- Provide exceptional customer service by addressing inquiries, providing information about used vehicles, and supporting sales processes
- Assist with office management duties such as organizing documents, proofreading communications, and maintaining office supplies
- Support bookkeeping activities using QuickBooks or similar accounting software, including basic bookkeeping and invoice processing
Qualifications
- Proven experience in front desk or receptionist roles within an office or dealership environment
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Exceptional phone etiquette and customer support skills to handle inquiries professionally and courteously
- Bilingual abilities are highly desirable to serve a diverse clientele effectively
- Clerical experience including filing, proofreading, and administrative support is preferred
- Familiarity with office management tools such as calendar management software and QuickBooks is a plus
- Ability to work independently with strong time management skills and attention to detail
