Order Fulfillment Specialist

About the Role

The Order Fulfillment Specialist plays a critical role in ensuring every customer order is processed accurately, efficiently, and on time. This position serves as the central point of coordination between customers, Sales, Operations, vendors, and internal teams to ensure a seamless order experience—from order entry through delivery.

Reporting directly to the Order Fulfillment Manager, this role has direct visibility into order accuracy, inventory availability, fulfillment timelines, and customer satisfaction. You will manage customer orders within our ERP/CRM systems, proactively resolve issues, and help ensure our operational excellence supports Elite Truck's commitment to delivering an exceptional customer experience.

Success in this role is defined by consistently meeting or exceeding performance expectations related to order accuracy, processing speed, customer communication, issue resolution, and overall fulfillment efficiency.

What You’ll Do

Order Processing & Coordination

• Accurately enter and process customer orders within the company's ERP and CRM systems.
• Verify product availability, pricing, shipping methods, and estimated delivery timelines.
• Ensure all order information is complete and accurate prior to release for fulfillment.
• Coordinate with vendors and internal departments to ensure timely and accurate order fulfillment.

Customer Communication

• Communicate with customers regarding order status, shipping updates, and fulfillment questions.
• Proactively notify customers of delays, backorders, or order changes.
• Provide professional, timely, and solution-oriented customer support throughout the fulfillment process.

Order Management & Problem Resolution

• Monitor open orders from entry through delivery.
• Resolve order discrepancies, shipping issues, and fulfillment challenges.
• Process order modifications, cancellations, returns, and other adjustments in accordance with company policies.
• Escalate complex issues while maintaining ownership through resolution.

Documentation & Operational Support

• Maintain accurate order records and supporting documentation.
• Support reporting, auditing, and operational recordkeeping.
• Assist Sales and Customer Support teams with administrative and operational requests.
• Identify opportunities to improve fulfillment processes and operational efficiency.

You'll collaborate cross-functionally with Sales, Customer Support, Purchasing, Product Catalog, Warehouse Operations, and vendors to ensure every customer receives an accurate and timely order.

What We’re Looking For

Required

• High school diploma or equivalent
• 2 years of experience in order entry, logistics, order fulfillment, or administrative support
• Experience using ERP, CRM, or order management systems
• Strong organizational skills and attention to detail
• Ability to work effectively in a fast-paced environment
• Proficiency with Microsoft 365 and/or Google Workspace

Preferred

• Associate's or Bachelor's degree in Business, Supply Chain, Operations, or a related field, or equivalent combination of education and experience
• Experience in B2B customer service
• Experience in manufacturing, distribution, automotive, or e-commerce environments
• Experience coordinating with vendors and multiple internal departments
