The Recording & Compliance Officer plays a critical role in ensuring the accuracy, compliance, and timely completion of every real estate transaction after closing. This position manages all aspects of post-closing file review, document recording, and policy issuance—maintaining precision, accountability, and adherence to state and county regulations.
This role requires exceptional attention to detail, an understanding of real estate documentation, and the ability to coordinate efficiently with escrow officers, title examiners, and county recorders to ensure smooth and compliant closings. This role will assist in resolutions for various tasks related to all post closing and policy matters.
Essential job functions include:
- Review executed closing packages for completeness, signatures, and notarizations.
- Verify recordable documents meet county requirements and lender specifications.
- Submit deeds, mortgages, and other instruments for recording via e-recording platforms or directly to the county recorder.
- Track and confirm successful recordings and obtain official recording confirmations.
- Update internal systems with recording data and archive all recorded documents.
- Follow up on outstanding documents or corrections to ensure timely completion.
- Assist and/or prepare and issue final lender and owner title insurance policies in accordance with underwriter guidelines.
- Reconcile policy schedules and premiums with closing statements.
- Upload and distribute completed policies to appropriate parties and underwriters.
- Ensure all post-closing files meet state, lender, and underwriter requirements.
- Maintain accurate records and logs of all recordings and post-closing activity.
- Identify and correct discrepancies or missing information prior to policy issuance.
- Work closely with escrow, title, and accounting departments to finalize transactions.
- Communicate effectively with county offices, lenders, and internal teams to resolve issues promptly.
- Maintain confidentiality of sensitive information in compliance with regulations.
Qualifications:
- Strong understanding of real estate closing documentation and county recording requirements.
- Familiarity ability to adapt and master SoftPro, software systems preferred. Experience in the title industry is preferred. We are willing to train the right candidate.
- Must be able to obtain a Missouri Department of Insurance Producer License
- Ability to work in fast paced team environment, possess good computer skills and be willing to learn and adapt to new procedures
- Attention to detail, strong organizational, interpersonal and communication skills.
- Must be courteous, professional and respectful when dealing with clients, and customers, both internal and external
- Reliable and consistent attendance and punctuality is a must
- Education – High School Diploma or equivalent
