Known for innovation, rapid growth, and operational excellence, we are seeking a high-caliber Executive Assistant to support our Founder & President in managing complex business activities, optimizing productivity, and maintaining organizational efficiency.
Position Summary
The Executive Assistant will serve as a key support role to the Founder & President, providing high-level administrative, operational, and logistical support. This role requires a proactive, highly organized professional with exceptional attention to detail. The ideal candidate is resourceful, thrives in a fast-paced environment, and can manage travel logistics (including private airplanes, pilots, and flight coordination), calendars, communications, and project follow-through on high-impact private and business initiatives.
Key Responsibilities
Executive Support & Administration
- Manage the Founder’s complex calendar, prioritizing meetings, travel, and business commitments across multiple companies and project sectors.
- Maintain strict confidentiality and handle sensitive information with discretion and professionalism.
- Prepare, review, and organize executive-level correspondence, reports, presentations, and briefing materials.
- Serve as the primary point of contact internal/external stakeholders, partners, and executive peers.
Travel & Logistics Management
- Coordinate all business and personal travel itineraries, including commercial and private aviation, hotel accommodations, ground transportation, and flight schedules.
- Coordinate President Founder with our Pilots and aircraft scheduling employee.
- Monitor travel budgets, preferences, and frequent flyer programs.
Project & Task Management
- Track, monitor, and follow up on the Founder’s key business tasks, project deadlines, strategic initiatives, and action items.
- Maintain accountability systems ensuring timely completion and updates of high-priority projects.
- Assist in coordination and oversight of real estate, construction, and development project documentation.
- Philanthropy; assist with our “Stockbridge Family Legacy Fund” and our annual nonprofit event “Spring Sing.”
Meeting & Stakeholder Coordination
- Organize and facilitate executive-level meetings, board, trade partner, trade professionals, banker/investor, and project/site visits.
- Prepare agendas, record meeting minutes, and follow up on action items.
- Liaise between vendors, investors, legal teams, consultants, and senior project managers.

Operational Efficiency & Support
- Help monitor and streamline systems for document management, project tracking, and executive reporting.
- Assist with strategic initiatives related to the Real Estate companies’ corporate development, growth planning, and investor relations.
- Support the Founder in personal and business alignment, balancing professional responsibilities and private commitments.
Qualifications
Required:
- 5 years of Executive Assistant or Chief-of-Staff support to C-suite or founder-level executives.
- Experience in (real estate-brokerage, escrow, lending), construction, civil engineering, or similar industries
- Advanced proficiency in Microsoft Office Suite, and project management tools (e.g., Acumatica, CRM, Workforce Go, GC Pay, Trailed, CoStar, Bluebeam)
- Strong written and verbal communication skills
- Exceptional organizational skills and ability to multitask under pressure.
Preferred:
- Experience scheduling and managing private aircraft travel.
- Familiarity with contracts, development deals, or financial reporting
- Bachelor’s degree in business administration, Communications, or related field
- Event planning for non-profit organizations event(s)
