We are seeking a highly organized tech savvy Executive Assistant to provide comprehensive support for a small business start up!
Me and my father own a small art gallery and we are looking to grow the company to the next level online. The ideal candidate will possess exceptional organization abilities and excellent communication skills. This role requires a strong background in time management, project coordination, and executive administrative support to complete tasks efficiently.
Since this project is in the idea/planning phase your main task is to process the creative idea into a structured system from the ground up, this position is ideal for someone that lives locally and wants to grow with the business in the long term!
Responsibilities
- Manage executive calendars, including scheduling meetings, and appointments.
- Provide planning for recruiting events, and conferences.
- Assist with bookkeeping tasks using QuickBooks and maintain accurate financial records.
- Coordinate projects from inception to completion, ensuring deadlines are met.
- Handle data entry and maintain organized filing systems for easy retrieval of documents.
- Serve as the first point of contact for clients and visitors, demonstrating excellent phone etiquette and customer service skills.
- Prepare reports, presentations, and correspondence with a high level of accuracy through proofreading and transcription.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative tasks.
- Manage multi-line phone systems efficiently while maintaining professionalism at the front desk.
- Support the executive team with clerical duties as needed, including document preparation
Experience
- Proven experience as an Executive Assistant or in other administrative roles is essential.
- Strong organizational skills with the ability to prioritize tasks effectively in a growth oriented creative environment.
- Proficiency in Microsoft Outlook Calendar for scheduling and managing appointments.
- Familiarity with office management procedures
- Excellent communication skills (Spoken and written)
- Previous experience in customer service roles will be beneficial in this position.
