We are seeking an organized, proactive Investor Relations & Travel Coordinator to support a small group of senior professionals across Investor Relations and Investments. This role blends travel planning, calendar management, Salesforce upkeep, and day-to-day IR logistics to help the team operate smoothly and stay focused on clients.

Key Responsibilities

Travel Coordination

• Arrange flights, ground transportation, and hotels for approximately five IR and investment team members
• Ensure itineraries are efficient and aligned with meeting schedules
• After trips and meetings, update contacts and Salesforce with new information and activity

Calendar & Meeting Management

• Manage calendars for the same group of senior team members
• Send Zoom invites when copied on email threads and coordinate meeting logistics
• Book cars for meetings and travel days as needed
• Proactively identify and resolve issues such as double bookings, tight turnarounds, or Zoom calls scheduled during travel
• Coordinate internal calendars to schedule internal meetings and check for conflicts

Salesforce & Contact Management

• Enter and update LP contact information and data changes in Salesforce
• Log meetings and activities in Salesforce on a weekly basis so records stay current
• Input meeting notes and voice notes from LP interactions to ensure accurate tracking and follow up
• Support outreach by sending invites or messages to LPs for AGMs, tennis events, holiday mailings, webinars, and other firm events

Investor Relations Support

• Print and bind marketing books and presentation materials for meetings and roadshows
• Update, charge, and prepare iPads and other devices for travel and investor meetings
• Assist with planning and logistics for the AGM and other investor events
• Maintain inventory of branded merchandise and ensure items are available for meetings and conferences
• Send a weekly internal email summarizing LP meetings and key activities
• Make restaurant reservations and coordinate catering for internal and external meetings
