We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a diverse range of events. As an Event Coordinator, you will be the driving force behind memorable experiences, managing all aspects of event logistics, vendor relationships, and client satisfaction. Duties
- Collaborate with clients and stakeholders to understand event goals, themes, and requirements, translating ideas into actionable plans.
- Develop comprehensive event plans covering venue selection, catering, entertainment, décor, and technical needs.
- Negotiate contracts with vendors including caterers, decorators, entertainment providers, and venue staff to secure the best terms and services.
- Coordinate all logistics related to event marketing and promotion to maximize attendance and visibility.
- Manage budgets meticulously, tracking expenses and identifying opportunities for upselling additional services or enhancements.
- Oversee event setup and breakdown, ensuring all elements are executed flawlessly while adhering to safety standards.
- Provide exceptional customer service by addressing attendee inquiries, resolving issues promptly, and ensuring a positive experience for all guests.
- Implement effective time management strategies to meet deadlines and coordinate multiple events simultaneously.
- Conduct post-event evaluations to gather feedback, analyze success metrics, and identify areas for improvement in future events.
Experience
- Proven experience in event planning or management within hospitality settings such as hotels or restaurants.
- Strong background in banquet operations, catering coordination, and guest services.
- Demonstrated ability to negotiate contracts with vendors and manage vendor relationships effectively.
- Familiarity with event marketing strategies including digital promotion and social media outreach.
- Experience in budgeting, cost control, and upselling additional services or packages.
- Excellent organizational skills with the ability to handle multiple projects efficiently under tight deadlines.
- Exceptional communication skills for liaising with clients, vendors, team members, and guests alike.
- Knowledge of hospitality industry standards including hotel operations or fundraising events is highly desirable.
