Job Overview
Elite Parking Area Maintenance is seeking a detail-oriented Administrative Assistant / Bookkeeper to support our accounting and back-office operations.
We are a fast-paced commercial construction and asphalt paving company, and this role plays a critical part in maintaining accurate financial records, job-costing documentation, and smooth office workflows. The ideal candidate has strong bookkeeping experience, proficiency in QuickBooks Desktop, and understands the unique accounting requirements of construction, including AIA billing and compliance documentation.
This is a full-time, in-person position located at our Oakdale, NY office.
Key Responsibilities
- Accounting & Bookkeeping Support
- Perform general ledger reconciliation across multiple construction-related entities.
- Prepare, post, and document journal entries.
- Enter vendor bills, receipts, deposits, and job costs into QuickBooks Desktop.
- Assist with AIA billing, progress billing, retention tracking, and payment applications.
- Maintain accurate records for lien waivers, certificates of insurance (COIs), W-9s, and subcontractor compliance.
- Support month-end close, bank reconciliations, and financial reporting requirements.
- Construction Back-Office Support
- Maintain organized job folders and documentation through Microsoft Office 365 and SharePoint.
- Process and organize work orders, delivery tickets, vendor invoices, and field paperwork.
- Assist in preparing proposals, bids, estimates, and supporting documents.
- Communicate with field staff to gather information for payroll, job costing, materials, and job closeout.
Process & Efficiency
- Collaborate with the Controller and accounting team to improve workflows and back-office systems.
- Identify discrepancies in accounts, billings, and job cost reports.
- Support internal audits, compliance tasks, and document retention procedures.
- Required Skills & Qualifications
- Strong understanding of accounting principles, including debits/credits and double-entry bookkeeping.
- QuickBooks Desktop experience required (not QuickBooks Online).
- Experience with AIA billing, progress billing, and construction invoicing is highly preferred.
- Prior bookkeeping or administrative experience in construction, paving, landscaping, or other trades is strongly preferred.
- Proficiency with Microsoft Office 365 (Excel, Outlook, Word) and SharePoint.
- Excellent organizational skills with a structured, detail-oriented approach.
- Strong written and verbal communication skills.
- Bilingual English/Spanish is a plus, but not required.

Monday – Friday
Full-time, 40 hours per week
Onsite at Oakdale, NY (no remote work)
Salary : $67,000 - $79,000
