This is advanced, responsible clerical work performing various administrative and clerical duties in the Unified Family Court (UFC) Division of the Eleventh Judicial Circuit. Supervision for the Administrative Assistant is under the Division Director, who is responsible for the identification, coordination, and transfer of all related cases pursuant to the circuit’s Administrative Order and Florida Supreme Court mandate, and in accordance with the circuit’s UFC model.

  • Research and identifies related Domestic Relations, Domestic Violence, Juvenile Dependency, and Juvenile Delinquency cases appearing on the time-sensitive Daily Crossover Reports, Notifications of Related Cases, and daily Shelter Hearing Notifications in Odyssey and Criminal Justice Information System (CJIS) case management systems.
  • Research referrals from judiciary, court staff, system partners, attorneys, etc., in Odyssey and CJIS case management systems for related case identification and possible transfer to UFC pursuant to Administrative Order (AO) #25-20.
  • Handles telephone inquiries for research as to related cases.
  • Handles telephone calls from the Domestic Violence (DV) Clerk’s Office at central and district court locations for related cases to research and provide assigned judge with hearing date information for qualifying DV Injunction/Dependency crossover cases.
  • Research related Juvenile Dependency and Delinquency cases in the CJIS database system as they are referred by the Juvenile Assessment Center (JAC), as well as from Daily Crossover Report, Dependency Detention Calendar, and system representatives, and prints all docket histories.
  • Works together with UFC Division staff to handle inquiries and identify possible related cases for case coordination and prepare transfer orders as well as working collaboratively with case management staff and other justice system partners in the multiple court divisions which have related matters, either pending or closed.
  • Calendars and creates court sessions in Odyssey case management system as directed.
  • Identifies sources, gathers material, analyzes and synthesizes information from statewide and national sources, in order to assist the Director and Assistant Director in improving the management of area of assignment.
  • Gathers and analyzes statistical data, oversees compilation of data to support monthly and special reports, documenting activities for area of responsibility.
  • Performs related work as required.
  • Graduation from an accredited college or university with a Bachelor’s degree in judicial administration, public or business administration, criminal justice, or a related field.
  • Experience in Family, Domestic Violence and/or Juvenile Delinquency/Dependency matters preferred.
  • Two (2) years of professional administrative clerical experience.

Knowledge, Skills and Abilities (KSAs):

  • Knowledge of the organization, functions, responsibilities, and procedures in the area of assignment.
  • Knowledge of research techniques.
  • Ability to communicate clearly and concisely, orally and in writing.
  • Proficiency in Microsoft Word, Microsoft Excel, Zoom, and data entry and retrieval.
  • Knowledge of modern office practices and procedures.
  • Ability to understand and follow oral and written instructions.
  • Ability to make work decisions in accordance with laws, regulations, and departmental policies and procedures.
  • Ability to accurately maintain a variety of complex records.
  • Ability to establish and maintain effective working relationships with the judiciary, court administration personnel, and other private and public agency staff.
  • Ability to work with minimal supervision and recognize and establish work priorities.
  • Ability to handle sensitive matters with integrity and confidentiality.
  • Ability to operate standard office equipment including personal computers and word processing and data entry applications for case management.
  • Ability to work effectively with the public and handle individuals who are under stress with courtesy, tact and patience.
  • Ability to maintain office files.

Physical Demands:

  • Work involves a significant amount of standing, sitting, talking, listening, balancing, stooping, and reaching with hands and arms; must be able to transfer up to 10 pounds.
