What are the responsibilities and job description for the Senior Executive Assistant position at Elevate Digital?
Elevate Digital is seeking a Senior Executive Administrator to bring order, anticipation, and follow-through to the day-to-day operating rhythm of our senior leadership team. This role provides high-level administrative and organizational support with particular emphasis on Adam and the executives who most need it, while maintaining one clear reporting relationship into the People Experience function.
This is far more than calendar management. The Senior Executive Administrator acts as an air-traffic controller for the leadership team protecting time, tracking commitments, managing complexity across multiple executives, and making sure nothing important falls through the cracks. The role carries significant exposure to confidential information, so sound judgment and absolute discretion are essential.
Calendar Management & Operating Rhythm
- Own calendar management, scheduling, meeting coordination, invitations, reminders, agendas, and distribution lists for supported executives
- Anticipate scheduling conflicts and gaps before they become problems, and speak up when something can't be allowed to slip
Follow-Through & Accountability
- Capture commitments made in meetings, document decisions, and track follow-up so nothing disappears between meetings
- Keeps people accountable to what they agreed to, in a way that builds trust rather than friction
Prioritization Across Multiple Leaders
- Manage competing priorities across several senior leaders with different working styles, distinguishing what's urgent from what's merely important
- Juggle multiple simultaneous assignments without losing track of any of them
Discretion & Gatekeeping
- Protect leaders' time and attention from unnecessary interruptions; professionally manage incoming requests
- Exercise absolute discretion with confidential information — personnel matters, strategic conversations, and financial information included
Representing Elevate & Events/Travel
- Serve as a warm, professional, and confident first point of contact for clients, partners, employees, and outside callers
- Coordinate venues, travel, reservations, agendas, materials, and logistics for leadership meetings and offsites end to end
- Maintain strong working knowledge of Outlook, Word, and PowerPoint, and use AI tools to prepare presentations, summarize material, and streamline routine work
Expected Outputs
- A leadership operating rhythm — calendars, meetings, and communications — that runs smoothly with minimal dropped balls
- Commitments made in leadership meetings are consistently tracked and closed out
- Offsites, travel, and leadership events run without attendees having to wonder whether details were handled
- Confidential information is handled with consistent, demonstrated discretion
