The ideal candidate will oversee daily front office operations, support staff performance, and ensure an exceptional patient experience. This role works closely with the Director of Operations and plays a key role in maintaining efficient workflows and high-quality service.
Key Responsibilities
- Supervise and support front office staff, including check-in and scheduling functions
- Assist in managing day-to-day front office operations and prioritizing workflow processes
- Assign tasks and ensure proper staffing coverage across all front office functions
- Monitor call center performance and assist with phones as needed
- Assist with patient check-in and scheduling during high-volume times
- Address patient inquiries and resolve complaints in a professional manner
- Track attendance, tardiness, and PTO requests
- Assist with building appointment requests from orders/faxes and manage ARV workflows
- Maintain accurate account management, including merging accounts and correcting reports
- Process addendums and ensure timely corrections are completed
- Scan and distribute legal requests and organize incoming mail
- Assist with staffing schedules and blocking provider schedules as needed
- Support technologists with front office-related questions and workflow coordination
- Assist with onboarding and training of new employees
- Monitor team performance, identify improvement opportunities, and provide feedback
- Track scheduling errors and support productivity improvements
- Assist with pre-certifications and corrections as needed
- Help with imaging workflows including clouding images and burning CDs
- Provide weekly team updates and reminders
- Perform other duties as assigned
