Office Administration Responsibilities:
- Manage daily operations of the office to ensure a smooth workflow across departments
- Greet clients and guests warmly, ensuring a professional and welcoming office environment
- Manage incoming phone calls, provide assistance, and direct inquiries appropriately
- Handle incoming and outgoing mail, including sorting, distributing, and processing
- Digitize and organize documents to maintain an efficient filing and records system
- Monitor and replenish office and shop supplies inventory/manage vendor relationships for procurement needs.
- Maintain cleanliness and organization in office and reception spaces
- Provide excellent customer service, potentially interfacing with customers to finalize financial transactions.
- Communicate with vendors to obtain quotes, place orders, negotiate pricing, and ensure correct delivery
- Maintain clear and professional communication, both written and verbal.
Bookkeeping Responsibilities:
- Handle accounts payable and receivable
- Process payroll and employee reimbursements
- Reconcile bank accounts and credit cards
- Maintain accurate financial records using accounting software
- Prepare reports and assist with budgeting and year-end audits
- Coordinate insurance documents with customers
- Maintain accurate employee records, insurance enrollment, onboarding/offboarding
- Proven experience in office administration or a similar support role –required
Requirements (Education/Experience/Skills):
- Associate's or Bachelor's degree in Accounting, Business Administration, or related field – preferred
- High school diploma or GED Certificate – required
- Ability to operate a computer using relevant software applications including Quickbooks, MS Office Suite, Access/Excel skills (e.g., formulas, pivot tables, data analysis). –required
- Professional, customer focused, demeanor with strong verbal/written skills – required
- Organized and capable of multi-tasking – required
- Proactive and able to work as a team player – required
