The Senior Payroll Specialist occupies a critical position in ensuring the accurate and efficient processing of payroll for both union and non-union employees. This role is instrumental in fostering collaboration between the Payroll Manager and various departments to address concerns and enhance operational efficiency. By supporting the overall payroll function, the Specialist significantly contributes to the organization's effectiveness. A meticulous attention to detail is essential, as is a strong commitment to compliance with payroll regulations and union agreements.
Responsibilities
- Review, verify, and process weekly payroll for both union and multi-state employees, ensuring compliance with all relevant regulations, CBAs, wages, and tax laws.
- Identify and resolve payroll errors while managing inquiries from employees and management to ensure timely follow-up and resolution.
- Prepare and input weekly payroll data for union and non-union staff, ensuring accurate calculations of deductions, garnishments, 401(k) contributions, Flexible Spending Accounts (FSA), and union payments.
- Process manual checks for urgent situations, such as adjustments, layoffs, or off-cycle requests.
- Manage weekly and monthly union payments, certified payroll documents, and reports to fulfill contractual obligations.
- Handle employee action forms, including updates to W-4 forms, direct deposit enrollments, garnishments, and union deductions.
- Collaborate with Project Managers to promptly review, approve, and validate timecards.
- Complete reports related to union withholdings, prevailing wage requirements, certified payroll, and federal and state tax obligations.
- Process mortgage verifications and respond to third-party requests for employment and income verification.
- Assist the Payroll Manager with special projects focused on process improvement.
- Perform other duties as assigned.
Qualifications
- Associate's degree in Accounting, Finance, or a related field.
- A minimum of five (5) years of advanced payroll experience.
- Knowledge of unionized payroll compliance is a plus.
- In-depth knowledge of federal and state payroll regulations.
- Comprehension of prevailing wage laws, collective bargaining agreements, and tax reporting requirements.
- Proven ability to identify, research, and resolve complex payroll discrepancies.
- High degree of accuracy and attention to detail.
- Strong organizational skills, with a demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills, including the ability to respond professionally to inquiries from employees, managers, and third parties.
- Advanced proficiency in Microsoft Excel, along with experience using payroll systems and software.
- Familiarity with ViewPoint or Vista software is a plus.
Work Environment & Hazards
- Standard office environment with minimal to no travel requirements.
- This role is in-person and may occasionally require work beyond standard business hours.

- Lifting/Moving: Must be able to lift and move up to 15lbs.
- Sedentary Work: Ability to remain in a seated or standing position at a workstation for extended periods while performing computer-based and administrative tasks.
