Position Summary:
The Admissions / Administrative Assistant plays a dual-role that is essential to the successful
operation of an assisted living facility. This position is responsible for assisting in the admissions
process — while also providing administrative and clerical support to ensure smooth daily
operations throughout the facility. This team member serves as a key point of contact for
prospective residents, families, staff, and requiring excellent communication, organization, and
customer service skills.
Key Responsibilities:
Admissions Coordination:
Serve as the point of contact for prospective residents and families to initiate the
admission process
Conduct facility tours as needed and provide information on services, pricing, and care
offerings.
Collect, review, and process all required documentation for new residents.
Maintain accurate and organized resident admission files in compliance with state
regulations.
Communicate move-in details to all departments to ensure a smooth transition.
Track admissions data
Administrative Support:
Answer and direct phone calls in a professional manner.
Manage incoming mail.
Maintain office supplies.
Assist with staff orientation, training coordination, and maintaining documentation.
Support data entry, maintain internal records, and help with compliance-related
paperwork.
Help organize community events, marketing efforts, and resident communication.
Qualifications:
High school diploma or equivalent required; associate's degree preferred.
2 years of experience in a senior living, healthcare, or related setting.
Prior experience in admissions, intake, or administrative roles preferred.
Knowledge of HIPAA regulations and confidentiality practices.
Strong proficiency in Microsoft Office and healthcare database systems.
Excellent interpersonal, organizational, and time management skills.
Compassionate, professional demeanor with a customer-service focus.
Work Environment:
Fast-paced office and residential care environment.
Interaction with elderly residents, families, clinical staff, and outside providers.
Occasional need to manage multiple priorities or respond to emergency admissions.
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
