Records Management Specialist

Position Summary
The candidate that we are looking for must be willing to learn new technologies, be detail oriented and dependable. You will organize paperwork according to an efficient filing system and digitalize all important documents and be responsible for shipping out documents both digitally and by USPS, FedEx and UPS. He/she must be able to be flexible, consistent and reliable in a supportive role while performing tasks that allow staff members to effectively perform their jobs. This position cannot be performed remotely.
Job Responsibilities:
- Scan incoming mail and label appropriately to the proper department
- Open, sort and route incoming mail to the proper individuals
- Participate as a team member in problem resolution and projects supporting continuous process improvement
- Outgoing mail preparation including the use of a postage machine and a folder stuffer machine
- Processes outgoing mail both digitally and by USPS, FedEx and UPS by exacting standards
- Participate as a team member in problem resolution and projects supporting continuous process improvement
- Assist in peer development
- Written documentation of procedures, as needed
- Maintain postal machine and account which includes maintenance and the ordering of supplies
- Assist in inventory tracking
- Assist with incoming deliveries
- Facilities duties such as: stocking and taking care of breakrooms, scheduling building inspections and contacting contractors when service is needed, formulating a maintenance calendar and other duties
- Perform inspection of the premises and ensure that any hazardous conditions are immediately reported for follow up
- This position is 100% on-site

Qualifications:
- High school diploma or equivalent is required
- Good computer skills and experience with a records management system
- 1-year related experience, preferred
- Must have basic PC computer skills
- Demonstrated proficiency in reading, writing in English

Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
