Job Summary: The Service Coordinator II supports the Program Management Office by coordinating administrative, contractual, and logistical aspects of defense-related service contracts. This role works closely with Program Managers to track service project milestones, maintain repair contract documentation, and facilitate clear communication across internal teams, suppliers, affiliates, and customer POCs. The Service Coordinator II is well organized, with a proactive mindset, strong attention to detail, and a desire to learn the intricacies of defense contracting and program coordination.

Responsibilities And Tasks
- Support Program Managers in tracking project deliverables, milestones, and contractual obligations.
- Coordinate internal and external meetings, scheduling, and documentation with subcontractors, suppliers, and customer stakeholders.
- Maintain accurate and current records, reports, and project documentation to ensure compliance with defense contract requirements.
- Assist in processing procurement requests, tracking invoices, developing repair quotes, tracking repair status, and upkeep of the enterprise resource program (ERP) for service contracts
- Help ensure adherence to all relevant standards, acquisition regulations, and internal quality procedures.
- Support the response process for contract modifications, audits, and customer deliverables.
- Serve as a liaison between cross-functional departments to streamline task execution and project flow.
- Provide general administrative support including preparing reports and managing correspondence.
- Identify and escalate issues impacting project performance or compliance in a timely manner.
- Bachelor’s degree in Business Administration, Project Management, Government/Political Science, or a related field (preferred), or 2-4 years relevant experience
- Excel and MS Office suite
- Familiarity with DoD contracting, FAR/DFARS regulations, or military protocols is a strong plus.
- Experience with project tracking tools or contract management systems desired
- Exceptional task management skills – ability to manage high volumes of tasks, track multiple concurrent deadlines, and follow through to completion without micromanagement.
- Detail-oriented and highly organized – ensures accuracy in documentation, compliance tracking, and internal communications.
- Strong time management – prioritizes effectively, meets deadlines consistently, and adapts to shifting priorities.
- Clear communicator – able to convey complex information simply and professionally, both in writing and verbally.
- Proactive problem-solver – anticipates potential roadblocks and takes initiative to resolve issues before they escalate.
- Collaborative mindset – works well with cross-functional teams, subcontractors, and external stakeholders.
- Technically proficient – comfortable using Microsoft Office Suite, spreadsheets, and task management platforms
- Quick learner – able to grasp new systems, workflows, and regulations quickly, especially within the defense contracting environment.
- Customer service orientation – professionally handles external inquiries and supports internal and external stakeholder needs.
