GENERAL DESCRIPTION

The office generalist fulfills an integral aspect of the day-to-day operations of the company. Will be responsible for directing and coordinating office services and related accounting activities. The ideal candidate will play an important role in supporting all aspects of the Export Hay Division. The office generalist will also provide support in transportation logistics, dispatching, inventory management, and the commodity and sales departments when necessary. The ideal candidate possesses superior interpersonal skills, a professional demeanor, and detailed oriented. Ability to effectively engage, build and foster relationships with clients, vendors, and office staff, to ensure the smooth operations of a variety of channels aiming for maximum efficiency.

ESSENTIAL JOB DUTIES & RESPONSIBILITIES

  • Overseeing general office operation duties including but not limited to maintenance, mailing, supplies, equipment, bills, errands, and shopping.
  • Coordinate with the IT department on all office equipment.
  • Ensure that items are invoiced and paid on time.
  • Manage contract and price negotiations with office vendors, service providers, and office leases.
  • Provide general support to visitors.
  • Participates as needed in special department projects.
  • Ability to work with little supervision and track multiple processes.
  • Working knowledge of logistics software (ERP).
  • Ensure customer satisfaction.
  • Ensure carriers, shipping and receiving personnel, and other logistical areas comply with safety standards and legal requirements.
  • Build and maintain relationships with suppliers and customers.
  • Suggest solutions for improvement.
  • Utilize logistics IT to optimize procedures.
  • Interact with a multitude of internal areas including Transportation, Accounting, Sales, and outside staff.
  • Administrative duties; assist with answering multi-line phones, greeting visitors upon arrival, scanning and filing, dispatching, tracking inventory and equipment, reports, and customer service
  • Comply with company policies, safety regulations, and legal guidelines.
  • Attend company meetings and events as required.
  • Complete special projects and other duties as assigned by management.

Proficient knowledge in the following areas:

  • Dispatching
  • Transportation logistics
  • Commodity accounting
  • Inventory management
  • General sales matters
  • Issues relating to transportation, customer problems, import and export, and logistics systems.
  • Logistics coordination according to availabilities and requirements.
  • Planning and tracking the shipment of final products according to customer requirements.
  • Preparation of accurate reports for upper management.

QUALIFICATIONS

  • Proficient skills in reading, writing, and speaking in English; bilingual (English/Spanish) a plus.
  • Excellent written and oral communications skills & techniques.
  • Proficient in math skills.
  • Ability to handle multiple tasks/duties.
  • Proficient in Microsoft Programs: Word, Excel, PowerPoint, and internal systems/applications.
  • Effective problem-solving/resolution skills.
  • Attention to detail (proofreading completed work, forms, reports, verbal orders given, etc.).
  • Knowledge of general office skills and administrative procedures, including, but not limited to typing, filing, copying, and faxing.
  • Ability to maintain a positive, professional, cooperative demeanor, conduct, and working relationship with peers, management, employees, and other individuals that interact with this position.
  • Ability to comply, interpret and support Company policies, procedures, work rules, and protocols.
  • Ability to maintain a high level of trust and confidentiality at all times.
  • Valid current California Drivers' license.

SELECTION GUIDELINES

Bachelor’s Degree plus 10 years of experience in the hay export industry, including transportation and port logistics, dispatching, inventory management, and accounting.

Job Type: Full-time

Pay: $68,500.00 - $80,000.00 per year

  • El Centro, CA 92243: Reliably commute or planning to relocate before starting work (Required)
