Job Title/Position: Office Generalist
Reports To: Executive Director/Administrator
Job Description Summary
The Office Generalist is responsible for coordinating all office activities including medical records, data entry, maintaining patient records, preparing for meetings, and maintaining sufficient office supplies. The Office Generalist is responsible for direct patient expenditures coordination, personnel records and billing.
Essential Job Functions/Responsibilities
- Maintains confidentiality of patient and personnel information.
- Maintains accurate up to date medical records in accordance with Medicare regulations and the Policy and Procedure Manual.
- Implementing and maintaining procedures and office administrative systems.
- Ensuring that health and safety policies are up to date and adhered to.
- Assists with obtaining Human Resource forms from applicants and employees in compliance with state and federal regulations.
- If needed as back up, receives request for need of new employees, search and screen applicants, and arrange interview for prospective employees with hiring manager.
- Maintains electronic data base files up to date on employees.
- Responsible for gathering and recording staff members’ required licensures.
- Participate in new hire orientation tasks and training.
- Updates various forms, binders, policies and procedures as needed.
- Prepares agendas, facilitate certifications and recertifications in a timely manner.
- Oversees a system for ordering and maintenance of accurate inventory records of medical and office supplies
- Tracks admission, discharge, certification and re-certification dates on all patients.
- Assists with audits of patient information.
- Maintains accurate mailing lists of employees; patients; volunteers, Medical Directors, physicians and nursing facilities and updates database.
- Performs other necessary functions/duties as assigned by the Clinical Director, Clinical Manager, and/or Administrator.
