We are looking for an organized, dependable, and proactive Administrative Assistant who enjoys helping people, managing details, and keeping a fast-moving team on track.
Experience preferred, real estate license preferred but not required
Position Overview
The Real Estate Administrative Assistant will provide day-to-day administrative and marketing support for the team. This person will help manage communications, organize transaction and listing information, maintain client records, coordinate schedules, and ensure important deadlines and follow-up tasks are completed.
The ideal candidate is comfortable working independently, communicates professionally, and can manage several priorities without losing attention to detail.
Responsibilities
- Answer and respond to phone calls, emails, texts, and client inquiries
- Maintain and update contacts, notes, tasks, and follow-up plans in the team’s CRM
- Assist with preparing new listings, listing documents, property information, and marketing materials
- Coordinate photography, inspections, showings, open houses, appointments, and vendor access
- Track important listing, contract, and transaction deadlines
- Organize electronic files and ensure documents are complete and properly stored
- Assist with social media posts, email campaigns, property flyers, and online marketing
- Communicate with clients, agents, lenders, attorneys, inspectors, photographers, contractors, and other vendors
- Prepare meeting agendas, reports, spreadsheets, and team updates
- Help maintain the team calendar and schedule appointments
- Follow up with leads and clients as directed
- Protect confidential client, business, and transaction information
- Assist with additional administrative projects as needed
Qualifications
- Previous administrative, customer service, office, or real estate experience preferred
- Strong written and verbal communication skills
- Excellent organization and time-management abilities
- High attention to detail and ability to meet deadlines
- Comfortable learning and using new technology
- Proficiency with email, Google Workspace, Microsoft Office, and online scheduling tools
- Experience with real estate CRMs, MLS systems, Canva, or transaction-management software is a plus
- Ability to work independently while also contributing to a team
- Professional, dependable, positive, and willing to take initiative
- Ability to handle confidential information with discretion
- Maine real estate license is helpful but not required
