Position Summary
The Invoice Analyst plays a critical role in HFDF’s financial accuracy and inventory integrity by ensuring that all incoming invoices are thoroughly reviewed and validated against receiving and purchasing records prior to payment. Sitting within the Asset Protection department, this role serves as a key control point — identifying discrepancies, determining resolution paths, and driving accountability across vendor relationships.
Key Responsibilities
Invoice Review & Verification
- Review and validate all incoming vendor and supplier invoices for accuracy, completeness, and alignment with agreed-upon pricing and terms
- Cross-reference invoices against purchase orders, receiving records, and delivery documentation to confirm goods were received as billed
- Identify discrepancies such as short-shipments, overcharges, or unauthorized charges, and determine appropriate resolution paths
- Manage and track invoice statuses, discrepancies, and resolutions with a high level of organization and accountability
Cross-Departmental Coordination
- Partner with Accounting to ensure invoices are approved and processed accurately and in a timely manner
- Work closely with Operations and Logistics to reconcile receiving records and resolve shipment-related discrepancies
- Coordinate with Merchandising to confirm product details and pricing accuracy
- Escalate complex or unresolved issues to Asset Protection leadership as needed
Vendor Communication
- Serve as a point of contact for vendors regarding invoice discrepancies, corrections, and documentation requests
- Drive follow-up on outstanding issues, including credit memos and revised invoices, to ensure timely resolution
Reporting & Documentation
- Prepare and maintain reports on invoice discrepancies, open items, and resolution timelines
- Identify recurring discrepancies and share insights to improve accuracy and reduce future issues
- Maintain accurate records within ERP and accounting systems
- Provide documentation and reconciliation details for audit requests
Qualifications
- 2–4 years of experience in invoice processing, accounts payable, or a related finance/operations role
- Strong attention to detail with the ability to identify and resolve discrepancies
- Proficiency in Microsoft Excel and experience working within ERP or accounting systems
- Ability to manage multiple priorities and exercise sound judgment in a fast-paced environment
- Strong communication skills for cross-functional and vendor interactions
Salary Range:
$55,000 – $65,000 annually, depending on experience and qualifications.
