About the Role

We are seeking a highly organized and proactive Business Coordinator to support the Vice President of Creative & Brand Strategy. This role serves as a critical support role to the VP, ensuring priorities are advanced and the creative, marketing, social, PR, and brand strategy teams are working in alignment. The ideal candidate is resourceful, detail-oriented, and comfortable working across creative and business functions in a fast-paced luxury jewelry environment.


Key Responsibilities


Executive Support

  • Act as the primary assistant to the VP of Creative & Brand Strategy, managing calendars, priorities, correspondence, and follow-ups.
  • Anticipate needs, prepare briefing materials, and ensure the VP is equipped for meetings and presentations.
  • Coordinate with internal leaders and external partners to support the VP’s agenda.

Business & Team Coordination

  • Support cross-functional alignment between creative, marketing, social, PR, and brand strategy teams.
  • Maintain department workflows, status trackers, and organizational tools, ensuring visibility of key initiatives.
  • Organize and manage files, decks, and project documentation for easy access and consistency.

Brand & Marketing Support

  • Assist with preparation of brand decks, presentations, and strategic documents.
  • Conduct light research on market trends, competitors, and cultural insights to inform strategic initiatives.
  • Support brand guideline adherence across teams and external partners.
  • Facilitate the planning of marketing campaigns and strategic initiatives.

Communications

  • Draft internal and external communications, including recap notes, follow-ups, and summary briefs.
  • Coordinate information flow between the VP and leadership, ensuring clarity and timeliness.
  • When needed, help coordinate approvals and consolidate feedback from leadership across design, copy, creative production.


Qualifications

  • Bachelor’s degree in Business, Marketing, Communications, or related field.
  • 2–4 years of experience in executive support, business coordination or related function (luxury, fashion, or jewelry experience a plus).
  • Strong organizational and multitasking skills with a proven ability to meet deadlines.
  • Excellent written and verbal communication skills; strong presentation preparation skills.
  • Adept at creating polished presentation and reports.
  • Highly detail-oriented, proactive and resourceful.
  • Proactive, resourceful, and able to anticipate needs in a fast-paced environment.
  • Familiarity with productivity and collaboration tools (Microsoft Office, Google Workspace, Asana).
  • Experience using design tools like Adobe Creative Suite and Figma a plus.
  • Passion for luxury, fashion, or fine jewelry with an eye for aesthetics and brand storytelling.
