Sales Support Project Coordinator

Our client, a manufacturing company specializing in industrial scrap and waste handling systems, is seeking to hire a Sales Support Project Coordinator to support the Business Development Manager (BDM), Parts & Repair Specialist (PRS), and Key Account Manager (KAM) by handling quoting, CRM, and order coordination activities that keep deals moving. This role also manages the process once a sale closes, tracking customer orders through fulfillment and installation. The position will also lead or support internal sales operations projects, including CRM improvements, process documentation, reporting, and new tool implementation. This is a full-time, first-shift position located on-site in Germantown, WI. The hours are standard at 8am-5pm Monday through Friday. The role pays $60K-$70K with discretionary bonus potential of $10K and offers 3 weeks PTO.

Sales Operations & Project Coordinator

The key to this role is strong organization, attention to detail, and the ability to support the sales team by coordinating quotes, CRM activities, customer orders, and internal sales operations projects. The incumbent will:

• Prepare and turn around quotes for sales within 24 hours of receiving complete information.

• Maintain 100% accurate and up-to-date CRM records for interactions, quotes, and orders.

• Follow up on outstanding opportunities to help advance them through the sales pipeline.

• Support prospecting and lead-generation activities, including warm-calling dormant or underdeveloped accounts and routing qualified leads to the appropriate salesperson.

• Assist with CRM cleanup, data hygiene, and organization as directed by the VP of Sales.

• Own the handoff from “deal closed” to “delivered/installed” by tracking each order’s status, key dates, and open action items.

• Coordinate with operations, production, and engineering to confirm timelines and resolve delays before they become customer-facing problems.

• Keep the internal sales team and customers informed of order status, changes, and milestones.

• Flag at-risk orders early and escalate appropriately.

• Lead or support sales operations projects such as CRM rollouts and upgrades, process documentation, reporting improvements, and new tool implementation.

• Coordinate cross-functional work with Operations, Finance, Engineering, and other teams where it affects the sales team's workflow.

• Build and maintain simple project trackers and timelines and report progress to the VP of Sales.

• Be willing to wear multiple hats and serve as a central point of communication between sales, operations, and customers to keep quotes, orders, and projects moving forward.

Qualifications

• 1 years of experience in a sales support, sales operations, project coordination, or similar role.

• Strong organizational skills and the ability to manage multiple concurrent workstreams with competing deadlines.

• Familiarity with CRM systems and comfort learning and helping others adopt new tools.

• Clear written and verbal communication skills with the ability to effectively coordinate between sales, operations, and customers.

• Detail-oriented with a strong bias toward following up rather than letting things go quiet.

• Ability to work a full-time (40 hour) role in Germantown, WI.

Preferred but not required

• Experience supporting a sales team in a manufacturing or industrial environment.

• Experience coordinating customer orders through fulfillment, delivery, or installation.

• Experience with CRM rollouts, upgrades, data cleanup, or CRM implementation.

• Experience with process documentation, reporting improvements, or new tool implementation.

• Experience coordinating cross-functional projects involving Sales, Operations, Finance, and Engineering teams.
