Position Summary
The Member Services Specialist is responsible for managing all aspects of membership services for the Edmond Board of REALTORS®. This role ensures accurate recordkeeping, delivers excellent member support, and maintains compliance with National, State, and Local REALTOR® association policies. The ideal candidate is detail-oriented, organized, and committed to providing exceptional service to association members.
Key Responsibilities
Membership Management
- Process new member applications, transfers, reinstatements, and terminations
- Maintain accurate and up-to-date member records in the association database
- Verify eligibility and compliance with membership requirements
- Coordinate onboarding for new members, including orientation materials and communication
Dues & Billing Administration
- Prepare and distribute annual and prorated dues billing
- Track payments and follow up on outstanding balances
- Process payments and maintain financial records related to membership
- Coordinate with accounting or finance staff as needed
Member Support & Communication
- Serve as the primary point of contact for membership inquiries
- Provide timely, professional support via phone, email, and in person
- Communicate important updates, deadlines, and policy changes to members
- Assist members with navigating association tools, benefits, and resources
Compliance & Records
- Ensure adherence to policies set by the National Association of REALTORS® and Oklahoma Association of REALTORS®
- Maintain confidentiality and integrity of member records
- Track continuing education, ethics requirements, Fair Housing and Code of Ethics compliance
- Generate reports for leadership and committees as needed
Event & Committee Support
- Assist with registration and attendance tracking for events and classes
- Support membership-related committees and board activities
- Help coordinate new member orientations and training sessions
Qualifications
Required
- High school diploma or equivalent
- 2 years of administrative or customer service experience
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent written and verbal communication skills
Preferred
- Experience working with Associations, REALTORS and/or similar industries
- Knowledge of real estate industry practices and terminology
