Job Description: Office/Data Coordinator
Reports To: Superintendent
Job Objective:
Perform secretarial, receptionist, and administrative support duties for the superintendent.
Recognize each contact with the public as being an opportunity to promote a positive impression of the school district. Act as a liaison between the superintendent and staff, students, and the public. Maintain confidentiality of data and privileged information of students, staff, and parents.
Minimum Qualifications:
Experience in office technology. Evidence of the ability to perform complex tasks independently.
- High degree of proficiency in spelling and the correct use of grammar
- Proficient in using software programs (i.e., Google Docs, Word, Excel, PowerPoint, etc.)
- Experience with database programs (i.e., Access, FileMaker Pro, etc.)
- Experience with publishing software (i.e., Publisher or PageMaker, etc.)
- Experience with e-mail software
- Proficient in office procedures, keyboarding, protocol, and the use of general office machines (e.g., 10-key calculator, copier, fax, printers).
- Proficient in the compilation of statistical data
- Evidence of a clear record as determined by the NY State Department of Education.
- Fingerprinting is required
Job Duties and Responsibilities as Confidential Secretary:
Accountable for the organization, management, and performance of all administrative support functions and receptionist duties. Acknowledge visitors positively and determine the reason for their visit. Ensure they are signed in and have a visitor badge.
Ability to communicate and maintain both a professional and tactful disposition at all times when dealing with parents, staff, community, Board members and students.
Ability to set priorities, organize, and complete tasks efficiently and with minimal supervision.
Able to develop systems for office procedures, arrival and dismissal procedures etc. and communicate them positively and effectively.
Keep known dates of staff absences and substitutes covering on the desk calendar - If a staff member is out without coverage, print out the schedules and look for potential solutions to suggest to the superintendent.
Help ensure that the superintendent follows their schedule including reminders if needed for scheduled meetings or appointments.
Answer questions regarding school directory, school calendar, registration procedures, transportation and general policies and procedures, schedules, events etc.
Sign and verify deliveries to the Business Manager's Office.
Ensure the confidentiality of privileged information.
Type, proof and edit all superintendent correspondences, handbooks etc.
Perform other duties, as directed by the superintendent or Business Manager.
Records Management
Job Objective:
Ensure and maintain district records following New York State ED-1 Records Retention Disposition
Schedule
Job Duties and Responsibilities:
- File and organize storage of inactive and active records
- Learn and maintain Docuware for scanning and storing required records
- Copy and send all records to Northville for students entering 7th grade
Payroll
Prepare the District's payroll and mandatory reports according to applicable laws and district procedure's (i.e. personnel contracts, earning records, payroll deductions, etc...)
- Obtain quotes based on Policy #6700-E. 1 purchasing exhibits
- Type requested purchase orders, process orders, check all orders in, and deliver accordingly
