We are looking for a detail-oriented Cash Applications Specialist to support our Accounts Receivable operations. This role plays a key part in ensuring accurate payment processing, invoice management, and customer account resolution. What You’ll Do
- Review invoices for accuracy against contracts and correct any discrepancies
- Apply pre-paid deposits and send invoices to customers
- Upload invoices to customer portals and manage required documentation
- Maintain customer deposit logs and apply payments according to company policies
- Prepare daily bank deposits and post payments, including credit card transactions
- Process RMAs and issue credit invoices with appropriate approvals
- Monitor aging accounts and assist with credit holds as directed
- Support lien processes, including documentation and coordination with attorneys
- Request and provide Certificates of Insurance as needed
- Prepare and submit pay applications
- Research billing issues, disputes, short payments, and back charges
- Communicate customer concerns with internal teams (Sales, AR Manager, Warranty, etc.)
- Participate in AR meetings to review collections and outstanding balances
- Perform additional accounting-related duties as assigned
What We’re Looking For
- High School diploma or equivalent required
- 2 years of accounting experience
- Accounts Receivable and billing experience preferred
- Strong attention to detail and organizational skills
- Ability to multitask and manage priorities effectively
- Excellent verbal and written communication skills
- Experience with accounting software preferred (Avalara, QuickBooks, SyteLine, Infor CloudSuite Industrial)
Work Environment & Physical Requirements
- On-site, corporate office environment
- Prolonged periods of sitting and computer use
- Minimal physical demands
