Job Summary
Project Administrative Support Specialist performs a variety of administrative activities to provide support to the construction organizational unit or project team.
Job Duties And Responsibilities
- SharePoint Administrator
- Create project hubs and related support sites for project management, document control and contractor repositories;
- Collaborate with Contractors, Project Managers, Engineers, and Construction VP;
- Train end users and other departments;
- Ensure prompt review of transmittals.
- Assist the Department’s HSE Advisor
- Performing monthly ISNetworld Contractor Tabletop Employee Training Audits and Pre-job Contractor reviews to ensure compliance. ISNetworld certified;
- Create streamlined process flow controls and related forms.
- Performance Metric Comparisons, Cost/Budget Analytics, and Forecast Price Cataloging reporting;
- Assist with process flow controls and document management;
- Collaborate with Project Managers, supervisor, and Construction VP to ensure accuracy and implementation of controls.
- HS Diploma/GED required with minimum ten (10) years related experience;
- Ten (10) or more years’ experience in a similar role at an industry operating company;
- Ten (10) or more years’ experience supporting the contractor management function;
- Experience with administrative duties in ISNetworld required;
- Strong organizational skills and attention to detail;
- Ability to follow systems, procedures and work flow processes and contribute to their improvement;
- Ability to work in fast-paced environment;
- Intermediate knowledge in MS Office, including MS Excel, MS Word, SharePoint, MS PowerPoint, and MS Outlook;
- Ability to interact with staff at all levels.
- Work is conducted in an office environment (Private or Semi-Private Office) and may require occasional travel to off-site work locations;
- Interaction with other team members, as well as supervisors and client personnel.
- Must be able to lift and carry five (5) pounds;
- Sufficient clarity of speech and hearing or other communication capabilities which permits employee to communicate effectively;
- Ability to sit for prolonged periods of time;
- Sufficient vision or other powers of observation which permits employee to conduct analysis and investigations;
- Sufficient manual dexterity which permit the employee to perform routine office duties;
- Sufficient personal mobility and physical reflexes to perform office duties and travel when necessary to off-site locations.
