ORGANIZATIONAL BACKGROUND
Northeast Health Partners (NHP) is a mission-driven organization dedicated to delivering high-quality, integrated healthcare services to communities across northeastern Colorado. As the Regional Accountable Entity (RAE) for Region 2 under Health First Colorado (Medicaid), NHP oversees the coordination and delivery of physical and behavioral health services for Medicaid members. We ensure a full spectrum of high quality, whole-person care, promoting member education, preventive services, care coordination, and evidence-based treatments are core to our mission.

Position Summary
The Administrative Support Specialist provides administrative and customer service support to the department. The position helps ensure efficient day-to-day department operations through meeting coordination, documentation, data maintenance, communications, and support of member and provider inquiries.

The position serves as a key administrative resource for the team and works collaboratively with internal staff, members, providers, and community partners. The ideal candidate is highly organized, detail-oriented, responsive, and able to manage multiple priorities while maintaining accurate record and professional communication. 

Administrative Support
Provide comprehensive administrative support to the department, including scheduling meetings, managing calendars, maintaining documentation, and coordinating communications.
Organize and coordinate internal, community, and external committee meetings, including preparing materials, and ensuring logistical readiness.
Develop and distribute meeting agendas, presentation materials, reports, and correspondence.
Prepare PowerPoint presentations and other communication materials for meetings, committees, and community events.
Coordinate and distribute meeting invitations, track attendance, and maintain meeting records.
Record, prepare, and distribute accurate meeting minutes and action items within established timelines.
Maintain department files, records, and documentation in accordance with organizational policies and retention requirements.
Monitor shared inboxes and administrative phone lines, responding to inquiries or routing requests to appropriate staff.
Assist with CRM and contact database management, including maintaining member, provider, and community partner information.
Process and track purchase requests for event supplies, educational materials, and promotional items.
Assist with special projects and other administrative duties as assigned.

Member and Provider Customer Service
Respond to incoming calls, emails, and written correspondence from members, providers, community partners, and internal departments.
Provide accurate information regarding health plan benefits, coverage, eligibility, enrollment, and available services in a professional and courteous manner.
Research and resolve routine member and provider inquiries, concerns, and complaints received through administrative phone lines and shared inboxes.
Document all interactions accurately within designated tracking systems, spreadsheets, or CRM platforms.
Process member account updates, including demographic changes, enrollment requests, and coverage-related inquiries.
Assist members, providers, and community organizations in accessing healthcare resources, provider networks, and available programs.
Escalate complex or unresolved issues to appropriate departments and monitor for timely resolution.
Maintain confidentiality and compliance with all applicable HIPAA and organizational requirements.

Project Management  
·Assist with training support as needed including assistance on training tracking and reviewing.
·Assist with tracking contract deliverables (member grievances, provider complaints, appeals).

Resource Management
Coordinating the allocation of community resources, help update and maintain resources on NHP website in collaboration with member engagement specialists.
Organize branding materials and support with ordering.


KNOWLEDGE/SKILLS/ABILITIES

Education/Credentials:
High school diploma or GED required; associate's or bachelor's degree preferred.
Experience:
Minimum of 1-2 years of customer service experience, preferably in healthcare and Medicaid

Knowledge of:
·Knowledge of project management, Colorado Medicaid system, and Colorado Medicaid contract requirements.

Skills/Abilities to:
Strong verbal and written communication skills.
Ability to explain complex healthcare and insurance information in an understandable manner.
Proficiency with Microsoft Office applications and customer service software.
Excellent problem-solving, organizational, and multitasking skills.


WORKING CONDITIONS
Work is primarily remote based on organizational needs and job requirements. Some meetings will occur at locations outside of the usual work location, including the use of conference and electronic meeting platforms (e.g., Zoom, GoToMeeting). All positions require travel within the counties NHP serves and attend community events.
