Responsibilities
- Greet visitors warmly and professionally, directing them appropriately and maintaining a positive first impression
- Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
- Maintain organized filing systems, perform data entry, and ensure all records are up-to-date and accessible
- Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Perform clerical duties including proofreading documents, preparing reports, and managing office supplies
Qualifications
- Proven experience in clerical roles with strong organizational skills
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Strong typing skills and attention to detail for accurate data entry and proofreading
- Familiarity with office management practices such as filing systems, calendar management, and customer support procedures
- Previous experience as a receptionist or personal assistant is a plus

Key Responsibilities
Customer & Front Counter
- Answer incoming calls and direct as needed
- Assist walk-in customers (mulch, gravel, materials, etc.)
- Take basic orders and write tickets
Shop & Yard Support
- Communicate with loader operators on customer needs
- Help keep shop/office area clean and organized
- Maintain basic awareness of material levels
Office Support
- Enter simple job or customer information
- Assist with scheduling updates and notes
- Monitor messages/emails and flag urgent items
- Bilingual capabilities are a huge plus but not mandatory
General
- Be flexible and help where needed
- Keep operations moving during busy periods

Availability Requirement
- Must be available to work between the hours of 7:00 AM – 6:00 PM, Monday through Friday
- Must be available for rotating Saturdays from 9:00 AM – 3:00 PM
- Schedule will vary within these hours based on business needs
