,Job Overview
We are seeking a dynamic and highly organized Construction Administrative Assistant to join our team. In this vital role, you will serve as the backbone of our construction projects, ensuring smooth administrative operations and effective communication across teams. Your energetic approach and attention to detail will help keep projects on track, clients satisfied, and office functions running seamlessly. This paid position offers a predictable schedule with early Fridays, and the chance to gain hands-on experience with construction operations.

Responsibilities

  • Manage front desk duties, greeting visitors and clients with professionalism and warmth
  • Receive subcontractor invoices, route for approval, and enter approved invoices into the CRM system
  • Maintain accurate data entry and filing systems for project documents, contracts, and reports
  • Upload project photos, contracts, and other documents into the CRM
  • Schedule inspections with city departments
  • Order materials and coordinate deliveries to job sites
  • Review, process, and upload home improvement contracts into the CRM
  • Provide exceptional customer service by addressing inquiries promptly and supporting client needs
  • Coordinate portable restroom deliveries for job sites
  • Manage Green Halo recycling projects for select jobs
  • Monitor and maintain office supplies

Experience

  • Previous office experience in a construction or related industry ; strong clerical or administrative experience is essential
  • Proficiency in Microsoft Word, Excel, Outlook, and cloud-based file systems
  • Experience with CRM software preferred
  • Bilingual skills are a plus to assist diverse client needs effectively
  • Proven organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Excellent phone etiquette with strong customer support capabilities
  • Ability to manage multiple tasks and deadlines effectively

  • Full-time, predictable schedule with early Fridays (9 am–2pm)
