Position Summary
The Patient Care Coordinator serves as a key point of contact for patients, providers, and insurance companies to ensure a smooth and positive experience throughout the patient’s care journey. This role is responsible for managing new patient referrals, obtaining prior authorizations, and supporting the call center with patient communication and scheduling needs.
Key Responsibilities
Referral Management
- Receive, review, and process new patient referrals from outside providers.
- Verify patient information, referral completeness, and insurance eligibility.
- Coordinate with referring offices and internal clinical teams to ensure timely scheduling.
- Obtain and document prior authorizations for procedures, diagnostic testing, and office visits as required by payers.
- Communicate with insurance companies to resolve authorization or coverage issues.
- Track and maintain accurate records of authorization approvals and expirations.
- Answer incoming calls in a professional and courteous manner.
- Schedule and confirm patient appointments in accordance with office protocols.
- Address patient inquiries, relay messages to clinical staff, and provide general assistance to ensure patient satisfaction.
- Maintain accurate and organized electronic health records (EHR).
- Collaborate with the clinical and administrative teams to ensure efficient workflow and timely patient care.
- Assist with quality assurance initiatives and other administrative tasks as needed.
- Education:
- High school diploma or equivalent required; associate degree or healthcare-related coursework preferred.
- Experience:
- Minimum 1–2 years of experience in a medical office or healthcare setting.
- Experience with referrals, insurance verification, and prior authorizations strongly preferred.
- Familiarity with EHR systems and medical terminology.
- Skills:
- Excellent communication, organizational, and multitasking abilities.
- Strong attention to detail and problem-solving skills.
- Customer-service oriented with a professional demeanor.
- Proficient in Microsoft Office and general computer applications.
- Office-based position within a clinical setting.
- Regular interaction with patients, providers, and administrative staff.
