Candidates will be notified via email if selected to interview. **Parks, Forestry, and Cemeteries Intern Recruitment Snapshot** JOB DESCRIPTION POSITION SCOPE Under general supervision, this position provides administrative support to the front desk team of the Parks, Forestry, and Cemeteries Division. This position staffs the front window at Central Maintenance Facility and directs telephone calls, using ActiveNet to assist the public with questions about pavilion and shelter availability, and performs additional clerical duties to support the division goals.
This position also provides direct customer service to walk-in, phone, and email customers of the Community Services Department. ESSENTIAL FUNCTIONS Assist with in person shelter and pavilion reservations and key checkouts. Assist by phone with online reservation questions.
Run reports for the Parks Crew and send key reminders for shelter reservations. Approve pavilion and shelter reservations. Operates the point-of-sale system which includes selling brush site passes.
Update records to meet the current division standards. Review division website to maintain current information. Communicate necessary website updates to the designated internal contact.
Utilize specific office software applications including ActiveNet, Canva, Microsoft Office suite, and Foxit PDF Editor. Perform general clerical tasks such as data entry and responding to email inquiries. NON-ESSENTIAL FUNCTIONS Performs related duties as required.
EDUCATION/EXPERIENCE/CERTIFICATIONS Experience with customer service in an office setting is required. Currently enrolled or a recent graduate of an associate degree program in business administration, secretarial science, or a related field is required. SKILLS/ABILITIES Must have excellent communication, customer service and organizational skills.
Must have cash handling experience. Maintain prompt, predictable, and regular physical attendance. Must be able to take direction and work well with others.
Must be able to concentrate and perform accurately. Must be able to react to change productively and handle other tasks as assigned. Must be able to back-up fellow co-workers.
SUPERVISION/DIRECTION RECEIVED Parks, Forestry, & Cemeteries Manager, Deputy Community Services Director, Community Services Supervisors, Constituent Services Associate II (Parks) SUPERVISION/DIRECTION EXERCISED None. WORK ENVIRONMENT Work is mostly sedentary (sitting) with occasional walking, standing and lifting less than 20 lbs. in a general office setting with a minimal presence of hazards.
