Overview
Easthampton Public Schools seeks a highly skilled, organized, and professional confidential Executive Administrative Assistant and Personnel Manager to provide direct support to the Superintendent of Schools and School Committee while managing key aspects of the district’s personnel operations. This position plays a central role in ensuring the smooth, efficient, and confidential functioning of the Superintendent’s Office, supporting effective communication and decision-making among district leaders, staff, and the community. The successful candidate will combine strong administrative and communication skills with experience in human resources or personnel management within a public organization.
Key Responsibilities
Executive and School Committee Support
•Manage the Superintendent’s calendar, correspondence, and daily workflow.
•Prepare, edit, and maintain confidential materials, including reports, presentations, and personnel documents.
•Serve as the recording secretary for all School Committee and subcommittee meetings; prepare and post agendas, coordinatemeeting logistics, and record official minutes in compliance with the Massachusetts Open Meeting Law.
•Serve as the public point of contact for the Superintendent’s Office, maintaining a high level of professionalism,
confidentiality, and customer service.
•Serve as the recording secretary for contract negotiations, bargaining meetings, executive sessions and all other required meetings.
Personnel and Human Resources Management
•Coordinate and maintain personnel files, ensuring compliance with all local, state, and federal employment laws.
•Manage onboarding and offboarding processes for all staff, including new hire documentation, conduct confidential backgroundchecks including CORI/SORI/DCF/fingerprinting, and DESE licensure verification.
•Track and maintain accurate employee records, including contracts, evaluations, leaves, and certifications.
•Track and maintain accurate FMLA leaves.
•Assist with recruitment, postings, and hiring processes in collaboration with the Superintendent and building administrators.
•Coordinate employee benefits enrollment and changes in partnership with the City of Easthampton Human Resources Dept.
•Prepare personnel reports and data summaries for DESE, School Committee, and audits as needed.
•Support development and implementation of personnel policies, contracts, and labor agreements.
Operations and Communication
•Support district-wide initiatives, events, and communications on behalf of the Superintendent and School Committee.
•Draft correspondence, announcements, and reports for internal and external audiences.
•Maintain personnel and School Committee records in accordance with public records and retention requirements.
•Coordinate with the Business Office, IT, and other departments to ensure smooth operational alignment across Central Office.
Salary : $56,000 - $65,000
