GENERAL SUMMARY OF POSITION

The Assistant HR Director provides strategic and operational support to the Director of Human Resources by assisting with all aspects of the employee life cycle. This position helps ensure effective human resources operations through recruitment, onboarding, benefits administration, employee engagement, compliance, HRIS administration, employee relations support, and other HR initiatives while maintaining the highest standards of confidentiality and customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

HR Operations & Employee Relations

  • Serve as a trusted Human Resources resource by providing guidance to employees and supervisors on HR policies, procedures, and employment-related matters.
  • Support employee relations activities, including performance management, coaching, investigations, corrective actions, conflict resolution, and terminations while ensuring fair and consistent application of policies.
  • Maintain the confidentiality, accuracy, and integrity of all Human Resources records and sensitive employee information.
  • Promote a positive workplace culture through exceptional customer service, professionalism, and collaboration.
  • Crosstrain across departmental functions to ensure continuity of operations and departmental effectiveness.

Talent Acquisition & Workforce Planning

  • Coordinate the full-cycle recruitment process, including job postings, candidate screening, interviews, background checks, hiring, and onboarding.
  • Partner with department leaders to identify workforce needs and develop effective recruitment strategies.
  • Coordinate temporary staffing resources to support operational requirements.
  • Facilitate new employee orientation and onboarding activities, including employment documentation, safety training, benefits enrollment, and organizational orientation. to ensure a successful transition into the organization.

Benefits Administration & HRIS

  • Assist in the administration of employee benefit programs, including medical, dental, vision, retirement, supplemental benefits, leave administration, unemployment claims, and wage garnishments.
  • Serve as the primary liaison between employees and benefit providers to resolve benefit-related questions and issues.
  • Support annual Open Enrollment planning, communication, and employee education.
  • Maintain accurate employee records within Paycom and other Human Resources systems.
  • Assist with payroll administration, timekeeping, reporting, employee data maintenance, and HRIS transactions.

Compliance & Risk Management

  • Ensure compliance with all applicable federal, state, and local employment laws and regulations.
  • Prepare, coordinate, and submit required compliance reporting including EEO-1, VETS-4212, Affirmative Action Plans, OSHA, and other required employment filings.
  • Support compliance requirements associated with AbilityOne, National Industries for the Blind (NIB), WorkQuest, federal contracts, and other government-funded programs.
  • Maintain employment documentation to ensure organizational readiness for internal audits, external audits, and regulatory reviews.
  • Monitor HR policies and practices to ensure compliance with changing employment laws and organizational standards.

Reporting, Records Management & Administrative Support

  • Maintain accurate Human Resources files, documentation, reports, and personnel records in accordance with legal and organizational requirements.
  • Prepare workforce reports, compliance documentation, HR metrics, and audit materials for leadership and external agencies.
  • Monitor and respond to Human Resources communications, including the HR Help Desk and employee messaging platforms.
  • Coordinate departmental meetings, projects, purchasing, and administrative activities that support Human Resources operations.
  • Perform other duties and special projects assigned in support of the organization's mission and strategic objectives.

Training, Development & Organizational Support

  • Coordinate annual compliance training, and mandatory organizational training programs.
  • Maintain employee training records and monitor completion of required training.
  • Assist in developing employee communications, training materials, and employee service that support organizational goals.
  • Participate in professional development opportunities to maintain current knowledge of Human Resources best practices and employment law.

 

Employee Engagement, Recognition & Culture

  • Plan and coordinate employee engagement initiatives including but not limited to celebrations, recognition and appreciation, and wellness initiatives events that promote a positive, inclusive, and mission-focused workplace culture.
  • Lead the Employee Activities Committee if needed to support planning and execution of engagement initiatives
  • Coordinate organizational awards and recognition programs at the local, state, and national levels.

Safety & Special Programs

  • Act as backup support for organizational safety initiatives by
  • Participating on Safety Committee
  • Assist in administering the organization's random drug and alcohol testing program.
  • Coordinate weekly Toolbox Talks and other employee communications.
Qualifications:

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in Human Resources is desired (related fields will be considered)
  • Minimum of five (5) years’ progressive experience in Human Resources
  • Experience working in a non-profit and/or manufacturing environment preferred.
  • Experience with mandatory reporting and compliance filings
  • Experience working with government agencies and reporting
  • SHRM or HRCI certification preferred
  • Experience with HRIS systems, preferability Paycom
  • Proficient experience with Microsoft office suite
  • Other combinations of experience and education may be considered

SKILLS AND KNOWLEDGE

  • Strong communication skills both written and verbal.
  • Excellent interpersonal skills with ability to manage sensitive and confidential information/situations with tact, professionalism, and diplomacy.
  • Ability to build and maintain strong relationships with employees.
  • Proficient with Microsoft Office Suite.
  • Proficient with or ability to quickly learn payroll management, HRIS and other related computer applications.
  • Strong organizational and time-management skills to multi-task efficiently and meet deadlines.
  • Ability to act with integrity and professionalism.
  • Advanced working knowledge of employment related laws, regulations, and
  • Strong analytical and problem-solving skills
  • Have a customer-service oriented mindset for both internal and external customers.

 

PHYSICAL DEMANDS

  • Prolonged sitting and working on a computer.
  • Must be able to lift 25 pounds at a time.
  • Must be able to access and safely navigate each department at the organization’s different facilities.

Salary : $60,000 - $65,000
