Duties
- Greet visitors and clients warmly, providing exceptional customer service and support
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with promptness and clarity
- Maintain organized filing systems, data entry records, and office documentation
- Schedule appointments, manage calendars, and medical records.
- Utilize computer skills including Microsoft Office, Google Workspace, and other office management tools to prepare documents, proofread materials, and update records
- Support office management tasks such as new patient appointments as well as basic clerical duties like photocopying and faxing.
Requirements
- Proven office experience or administrative background with strong organizational skills
- Excellent computer literacy
- Experience with multi-line phone systems and phone etiquette essential for effective communication
- Strong typing skills along with attention to detail for proofreading and data entry tasks
- Knowledge of office management procedures including filing systems and calendar management
- Customer service experience in a professional setting; previous roles such as dental or medical receptionist are a plus
- Personal assistant or clerical experience demonstrating time management and organizational abilities
- Ability to handle confidential information discreetly while maintaining a friendly demeanor
