Overview
We are a family-owned organization that operates several affiliated entities. We are seeking a highly organized, detail-oriented Bookkeeper / Office Manager to assume responsibility for day-to-day bookkeeping, billing, and office administration across multiple operating entities. This role is critical to ensuring accurate financial records, strong internal controls, and clear communication with management.
The ideal candidate has a strong accounting foundation, is highly proficient in QuickBooks Online and Microsoft Excel, and is comfortable working independently in a desk-based, computer-focused environment. An auditing or financial accounting background is strongly preferred.
This is a full-time, on-site position with a minimum of 40 hours per week.
Key Responsibilities – Bookkeeping & Accounting
- Perform recurring bookkeeping for multiple operating entities, including:
- Recording and processing deposits
- Issuing weekly checks
- Monitoring bank activity and transactions
- Manage billing and bookkeeping functions across several entities- Maintain and monitor QuickBooks Online accounts to ensure:
- Transactions are properly categorized and recorded
- Account balances are accurate
- Any unexpected or irregular activity is identified and escalated
- Prepare monthly reconciliations, including bank and credit card accounts- Maintain accurate, well-documented financial records in accordance with internal procedures- Communicate regularly with the General Manager and leadership regarding financial activity, discrepancies, or concerns
- Serve as the primary on-site office manager at one primary operating location
- Manage incoming phone calls and general office communications throughout the day
- Handle all incoming receipts, invoices, and billing documentation
- Ensure documentation is properly routed, stored, and recorded in accordance with established procedures
- Maintain orderly financial and administrative records
Cross-Entity Support
- Be primarily stationed at one entity, with scheduled or as-needed transitions to other affiliated locations
- Coordinate workflow and scheduling across entities as determined by management
Qualifications & Experience
Required:
- Demonstrated experience with QuickBooks Online
- Formal or practical accounting or bookkeeping background
- Strong working knowledge of Microsoft Office, especially Excel
- High level of attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to work independently and manage multiple responsibilities
- Comfort with extended desk-based computer work and phone communication
- Strong communication skills and professionalism
Preferred:
- Background in auditing, financial accounting, or internal controls
- Experience supporting multiple entities or complex organizational structures
- Familiarity with internal accounting procedures and controls
Position Details & Compensation
- Status: Full-time, salaried (minimum 40 hours per week)
- Schedule: Start and end times to be determined

Pay: $50,000.00 - $65,000.00 per year
