What are the responsibilities and job description for the Receptionist position at East River Legal Services?
Under the supervision of the Program Administrator, the Receptionist renders administrative support services including, but not limited to: greeting applicants and office visitors (in-person or on the phone), providing clerical and administrative support, copying documents, scanning documents to PDF file format, maintaining files in a confidential and well-organized manner, performing data entry of client statistical information, answering phones, and performing other duties as assigned.
Duties and Responsibilities:
- Answer, transfer, and screen all incoming calls and, when necessary, assist with outgoing calls;
- Take and relay messages;
- Assist clients with Intake Applications, SD Cares Applications, and other resources as necessary;
- Greet office visitors and direct them to the proper personnel;
- Sort and distribute incoming mail;
- Process outgoing mail and packages and drop off daily;
- Sign for deliveries and notify appropriate personnel;
- File and make copies;
- Draft board meeting minutes;
- Process and document incoming donations and payments and deliver to appropriate personnel;
- Maintain the lobby and other public areas;
- Comply with all regulations, grant requirements, and internal operating and personnel policies;
- Provide administrative support;
- Other duties, which may be assigned from time to time by the Executive Director or Program Administrator.
Knowledge, Skills, & Abilities:
- Punctual and excellent attendance record;
- Skills and experience in interacting with persons of various social, racial, cultural, economic, and educational backgrounds;
- Great communication skills, both verbal and written;
- Experience with a multi-line phone system;
- Ability to prioritize and manage multiple clients and responsibilities;
- Solid data entry, spreadsheet management, and computer skills including Microsoft Office Suite;
- Candidate must be detail-oriented, organized, and self-motivated;
- Ability to handle numerous tasks concurrently;
- Listens to others and responds appropriately;
- The ability to speak more than one language is a plus, but not required.
Job Type: Full-time
Pay: $17.05 - $23.87 per hour
Expected hours: 40 per week
