Duties
- Greet visitors warmly and professionally, directing them to the appropriate personnel or department
- Manage multi-line phone systems, answering inquiries promptly and courteously while maintaining excellent phone etiquette
- Handle incoming calls, take messages, and transfer calls accurately using office communication tools
- Perform data entry tasks with speed and precision, including filing, proofreading documents, and updating records
- Maintain organized filing systems—both physical and digital—ensuring easy retrieval of information
- Support office management by assisting with calendar management, scheduling appointments, and coordinating meetings
- Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents and manage correspondence
- Support bookkeeping activities using QuickBooks or similar software for basic invoicing and expense tracking
- Provide customer support by addressing inquiries professionally and assisting clients or visitors as needed
- Assist with clerical duties such as photocopying, faxing, mailing, and inventory management
Experience
- Proven office experience or administrative support background in a professional setting
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
- Excellent verbal and written communication skills; bilingual abilities are a plus for serving diverse clients
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience handling multi-line phone systems with professionalism and efficiency
