We're at a transition point. As our Production Manager steps away, this role will grow significantly over the first year as you take on increasing responsibility for client relationships and event leadership. We're looking for someone who wants to build something, not just execute tasks.
We're seeking an organized, proactive Event & Production Coordinator to support client relationships and lead day-to-day event execution with a clear pathway to becoming an Event Producer/Lead.
This role sits at the intersection of event planning, client communication, production coordination, and operations. You'll help ensure our clients feel supported and informed, and that events move smoothly from concept through delivery.
This is an ideal role for someone with event industry experience who is ready to take on increasing ownership and grow into a leadership position within a small, dynamic production company.
Event Coordination & Logistics
- Support event planning and execution for conferences, livestreams, and hybrid productions
- Coordinate event timelines, schedules, and deliverables across projects
- Manage vendor relationships and logistics coordination
- Assist with on-site event execution and production coordination
- Track milestones and ensure deadlines are met
Client Communication & Support
- Support day-to-day client communications and requests
- Maintain professional, responsive client relationships
- Document client interactions accurately in CRM
- Flag risks, concerns, or scope changes proactively
Project & Financial Administration
- Create and send accurate client invoices
- Track payments and follow up on outstanding accounts
- Maintain organized project documentation and financial records
- Support internal team coordination and scheduling
- Take ownership of client relationships for assigned events, serving as primary point of contact
- Lead event planning conversations, translating client vision into detailed production plans
- Manage event budgets and timelines independently, ensuring profitability and delivery excellence
- Serve as on-site lead for events, managing staff and troubleshooting in real-time
- Identify opportunities to expand client relationships and services
- Contribute to business development and strategic growth initiatives
- 2-4 years of experience in event coordination, event planning, production support, or client services (event industry strongly preferred)
- Demonstrated interest in growing into event planning/production leadership
- Strong organizational skills and attention to detail
- Clear, professional communication skills (written and verbal)
- Experience with event logistics, vendor coordination, or production environments
- Ability to manage multiple projects and shifting priorities
- Proactive, solutions-oriented mindset with strong follow-through
- Client-focused approach with a high standard of service
- Comfort working independently in a small, evolving company
- Experience with corporate events, conferences, or live productions (50-500 attendees)
- Familiarity with AV, livestreaming, or technical production requirements
- Background in operations, project management, or production coordination
- Experience working with remote teams and digital collaboration tools
