What are the responsibilities and job description for the Provider Relations Specialist position at Early Learning Coalition of St. Lucie County?
SUMMARY OF RESPONSIBILITIES:
This position is responsible for data management, attendance monitoring/auditing, provider adjustments/reimbursements, and completing the contract process for new and annual contract renewals as it relates to the School Readiness and Voluntary Pre-Kindergarten (VPK) providers and agreements based on State of Florida law, Division of Early Learning (DEL) program requirements and policies of the Early Learning Coalition (ELC). Work is performed under the general direction of the Chief Financial Officer. This is a position of special trust and responsibility.
SPECIFIC DUTIES AND RESPONSIBILITIES:
Responsibilities include but are not limited to the following:
- Follow system procedures necessary to maintain proper records and to afford adequate controls and services.
- Maintain provider database, contracts, demographic information for School Readiness (SR) and Voluntary Prekindergarten (VPK) Programs.
- Maintain VPK class schedules.
- Maintain Coalition provider list.
- Provide monthly, quarterly and annual statistical reports for local, state and federal requests including but not limited to adhoc reports to assist with data analysis for local match and grants.
- Process monthly child care provider attendance and adjustments for the School Readiness and Voluntary Prekindergarten programs.
- Track VPK provider client data entry, applications, enrollments, re-enrollments, terminations and holidays.
- Perform annual VPK attendance verifications for regular and summer programs.
- Ensure policies and procedures relating toprovider attendance processing and documentation required for contracting with childcare providers are in accordance with Federal and State Legislation, the Coalition’s Plan for Early Learning (including amendments) and the DELFunding Agreement.
- Interpret governmental statutes, regulations, transmittal notices, and memoranda pertaining to federal and state funded grants.
- Meet with provider applicants and appropriate staff regarding contracting with the Coalition.
- Process provider program applications, initiate contracts and monitor for compliance.
- Provide excellent customer service to provider and internal departments.
- Perform other duties as assigned by the Chief Financial Officer.

- Maintain a high level of confidentiality.
- Ability to work with mathematical concepts.
- Knowledge of computerized information systems including MS Word, MS Excel, Access, and E-mails.
- Detail oriented with excellent organizational skills.
- Ability to determine work priorities and ensure proper completion of work assignments.
- Ability to understand and apply applicable rules, regulations, policies and procedures.
- Ability to define problems, collect data, establish facts and draw valid conclusions.
- Ability to express ideas effectively verbally and in writing.
- Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers, clients and the general public.
- Ability to establish and maintain effective working relationships with the general public, co-workers, and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, gender, or disability.
QUALIFICATIONS:
Bachelor or Associate Degree in Business, plus 2 or more years of directly related experience; OR an equivalent combination of directly related education, training, and/or experience preferred. Must pass the required drug and criminal background screenings.

While performing the duties of this job, the employee is regularly required to sit, talk and hear. The employee is frequently required to use hands to finger, handle, or feel and reach with hands and arms. The employee is also required to sit at a desk and use acomputer.The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus. The noise level in the work environment is usually quiet.
