The Medical Front Desk Supervisor oversees front desk operations and staff, manages patient flow, staff training, scheduling, performance evaluations, and ensuring patient and staff satisfaction. Key duties include ensuring accurate patient information and billing, maintaining front office cleanliness, and serving as a liaison between patients and the clinic leadership, ultimately optimizing the efficiency and professionalism of the front desk.
Staff Management & Supervision
- Supervises, trains, and coaches front desk and scheduling staff.
- Manages staff schedules and timecards, approving leave requests and ensuring adequate staffing.
- Conducts annual performance evaluations and assists with disciplinary actions when necessary.
Patient Experience & Flow
- Ensures a positive and professional patient experience by greeting patients, managing inquiries, and resolving issues.
- Oversees the patient check-in and check-out process, including verifying insurance information, collecting co-pays, and managing patient records.
- Monitors patient flow and workflow to ensure efficiency and maintain patient satisfaction.
- Performs the role of front desk associate, scheduler or insurance specialist when staffing needs require
Administrative & Financial Oversight
- Ensures accurate input of patient demographic, insurance, and financial information.
- Manages and monitors front office billing and payment processes.
- Coordinates the ordering of office supplies and oversees expenditures.
- Performs other tasks as instructed by Administration.
Operational & Compliance
- Implements and maintains front desk policies and procedures.
- Ensures adherence to patient privacy and confidentiality standards, including HIPAA.
- Stays updated on changes in insurance, company policies, and relevant regulations.
Communication & Collaboration
- Serves as a liaison between the front desk staff, patients, and other clinic leadership.
- Collaborates with other departments, such as the business office or clinical staff, to optimize operations.
Education, Experience, and Certification/Licensure Required
- A high school diploma or GED required. Associate or Bachelor’s degree a plus.
- Previous supervisory experience required. · Minimum of three (3) years of experience in an administrative support role for a medical practice.
- Previous experience with EMR desired.
Knowledge, Skills, and Abilities
- Excellent customer service skills.
- Knowledge of medical billing and insurance related to physical therapy.
- Ability to establish and maintain effective working relationships with patients, staff and physicians.
- Great telephone etiquette and ability to speak clearly.
- Excellent written and verbal communication skills.
- Great attention to detail and organizational skills.
- Team-oriented work ethic. · Ability to work in a fast-paced office setting.
