E.J. Jaxtimer, Builder, Inc. is a well-respected and growing residential building, landscape and millwork firm specializing in high-end residential projects. "We take pride in our work". We have an exciting opportunity available! We are currently seeking a full-time Controller to join our dedicated team.

Basic Function: Reporting directly to the principals, the position is responsible for ensuring the Company’s overall accuracy with accounting and financial reporting. Through the creation of financial transactions such as posting information to QuickBooks software from such source documents as invoices to customers, cash receipts, and supplier invoices, this position will create the necessary financials to provide information for analysis, efficiency and overall performance of the company. Finally, the position will work with outside Accountant to assist in the preparation of yearend tax returns.

Principal Accountabilities:

1. Enters overhead invoices for payment.

2. Prepares daily account information reporting for management, including bank account balances, invoices to be paid and current credit card, loan and supplier balances.

3. Prepares weekly reporting on building overhead invoices due the following week to prepare for cash requirements.

4. Purchase supplies and equipment as authorized by management.

5. Assist in purchasing assets and record asset purchases.

6. Pay supplier invoices in a timely manner

7. Take all reasonable discounts on supplier invoices.

8. Pay any debt as it comes due for payment and reconcile balances.

9. Reviews building invoices prior to sending.

10. Ensure that receivables are collected promptly. Sends monthly statements. Speaks to customers about billing issues and works with staff to resolve and respond to customers.

11. Record cash receipts and make bank deposits

12. Conduct monthly reconciliation of all bank accounts.

13. Conduct periodic reconciliations of all accounts to ensure their accuracy.

14. Maintain petty cash fund.

15. Issue comparative financial statements and be prepared to answer questions from reports.

16. Provide information to the external accountant who creates the company’s financial statements.

17. Calculate and issue financial analysis of the financial statements.

18. Completes monthly accounting procedures as detailed.

19. Maintain an orderly accounting filing system.

20. Maintain the chart of accounts.

21. Calculate variances from the budget and report significant issues to management.

22. Comply with local, state, and federal government reporting requirements.

23. Process payroll in QuickBooks in a timely manner and pay corresponding taxes.

24. Review auto, commercial and health insurance policies. Completes renewal quotes and audits on a yearly basis.

25. Administers all human resource needs and the company 401(k) policy. Includes new hires and terminations.

26. Maintains and monitors all subcontractor paperwork, including certificates of insurance, and W-9 forms on a monthly basis.

27. Provide clerical and administrative support to management as requested.

28. Work with management to develop and implement new policies, strategies and procedures.

29. Review and record journal entries to reflect monthly activity.

30. Any other responsibilities that may be assigned from time to time.

Desired Qualifications:

The candidate should have a Bachelor’s degree in accounting or business administration, or equivalent business experience, as well as knowledge of human resources, business operations and generally accepted accounting principles. Preference will be given to candidates with a working knowledge of QuickBooks accounting software package. Candidates must be well organized and be able to effectively communicate with management and employees.
